POSITION SUMMARY

The Illinois Commission on Equity and Inclusion (CEI) is seeking to hire an organized, professional, and results oriented individual to serve as an Administrative Assistant. Under general direction of the Chief of Staff, this skilled individual performs a wide variety of sensitive and confidential administrative tasks. Duties will include providing assistance with planning, developing, and maintaining the operations of the Commission. The ideal candidate will be an enthusiastic, self-starter excited about joining our new Commission and having the opportunity to collaborate with teammates on strategies to support minority suppliers and vendors grow their businesses. POSITION ESSENTIAL FUNCTIONS

  • Under general direction of the Chief of Staff, serves as a staff assistant performing functions relative to policies, programs, and processes of the Commission.
  • Performs responsible administrative duties relative to all operations of the Commission on Equity and Inclusion.
  • Develops and coordinates special projects and assignments utilizing specialized scheduling and registration software and web page development software.
  • Organizes goals and objectives of the Commission.
  • Attends and participates in various staff meetings to assist the Chief of Staff and CEI Commissioners with the development, interpretation, and implementation of policies and programs affecting operations and services, and to stay informed of changes in day-to-day operations and activities
  • Maintains and develops relationships with liaisons and working relationships at the administrative level of the Commission and with outside vendors, government offices, representatives, businesses, and the public providing information concerning the various programs and services provided by CEI
  • Performs other duties as assigned or required which are reasonably within the scope of the duties enumerated above.

MINIMUM QUALIFICATIONS

  • Requires knowledge, skill, and mental development equivalent to completion of four years of college, preferably with courses in public or business administration.
  • Requires one year of professional experience in a public or private organization, or completion of an agency approved professional management training program.

PREFERRED QUALIFICATIONS

  • One (1) + year of professional experience involving preparing meeting minutes.
  • One (1) + year of professional experience managing multiple calendars and an overall CEI office calendar.
  • One (1) + year of professional intermediate proficiency with Microsoft Office Suite software, including but not limited to Word and Excel.
  • One (1) + year of professional proficiency in database software applications.

CONDITIONS OF EMPLOYMENT

  • This position requires the applicant to pass a background check.
  • Overtime is a condition of employment, and you may be required/mandated to work overtime including scheduled, unscheduled, or last-minute overtime.

The Commission on Equity and Inclusion (CEI) is a separate and unique administrative agency with distinct functions regarding the promoting of diversity in the State hiring process and encouraging the continuing economic development of minority-owned, women-owned, veteran-owned and people with disabilities-owned and operated businesses to participate, and succeed, in the State procurement process through the administration of the Business Enterprise for Minorities, Females, and Persons with Disabilities Act via the Business Enterprise Program (BEP) and Veterans Business Programs (VBP). Both the BEP and VBP are designed to remedy ongoing discrimination and the continuing effects of past discrimination in State procurement.
