Answer telephones and provides appropriate information to callers, take messages and transfers calls; schedule appointments and meetings and maintain calendars.
Assist in coordination of conferences and special events. Activities may include preparing the agenda, arranging meeting facilities, making travel arrangements, and handling supplies and refreshments, as needed.
Prepare routine correspondence as directed.
Assist with databases and information related to budgets
Prepare data for general reports with thorough instructions, e.g., purchases and other reports as required
May utilize computer-based programs to prepare, submit and track requisitions, check requests, reimbursement forms, work orders, etc.;
Reads and routes all mail; Maintain general files.
Take meeting minutes and notes.
Order supplies as needed.
Perform other related duties as assigned.
QUALIFICATIONS:
High School Diploma and at least 2 years of administrative support experience is required. Equivalent combination of education and experience will also be considered.
Skills and Competencies
Must possess working knowledge of Microsoft Word, Outlook and Excel. May use other web based programs as assigned;
Must demonstrate good judgment, initiative and attention to detail.
Ability to check applicable policies and procedures.
Scope of Responsibility
Deals directly with individuals and groups, both internal and external to the College, ability to check the applicability of matters requiring knowledge of policy.
