About the role:
J.Crew Group is seeking an Administrative Assistant to support members our Human Resource Leadership Team. In this role you will support the VP – Talent Acquisition & DEIB, VP – Benefits & HRIS, and VP – HR Business Partner for Factory with day to day scheduling coordination, supporting in-office and remote events and handling travel and expense logistics.
Role + Purpose:
  • Work closely with the HR leaders during the day on status of meetings and appointments.
  • Coordinate meeting schedules and book conference rooms. Update calendar events as necessary throughout the day.
  • Liaise with building security and JCG reception to receive outside guests for HR meetings.
  • Support leaders with new hire requests and IT setups.
  • Organize lunches and other team events as needed
  • Compile expense reports and coordinate review with leaders of expense reports for approval
  • Assist with the management of vendor contracts, vendor set up, and invoice tracking using company systems
  • Arrange and coordinate domestic and international travel arrangements and logistics, including international visas and passport renewals
  • Regularly review and prioritize email, phone, and other forms of correspondence handling and screening telephone calls from vendors, employees, and cold calls
  • Order and distribute office supplies
  • Partner with Chief People Officer’s assistant as needed
  • Other projects, as requested
Qualifications:
  • Must have strong interpersonal skills and have the ability to create relationships within the HR Team and with other departments
  • Organize own work, coordinate projects, set priorities, meet deadlines and follow up on assignments with minimal supervision and direction
  • Proficient in Microsoft Suite
  • Workday knowledge (a plus)
  • Highly professional demeanor
  • Flexibility to take on new requests
  • Proactive in asking questions and making suggestions
  • Manage sensitive, highly confidential, and proprietary information with discretion and the utmost level of confidentiality
  • An individual who is outgoing, works well under pressure, is a team player and a liaison and point person for the HR Leaders

Hourly Range: $26.83 - $37.55

The base salary offered will take into account internal equity and may vary depending on the candidate’s geographic region of work premises, job-related knowledge, skills, and experience among other factors.
