Operations plays a key role in the development, manufacturing, testing and delivery of our medicines to our customers. AstraZeneca has expanded and strengthened its respiratory products portfolio, We have made strides in bringing therapies to asthma patients. Our mission and vision are to develop differentiated therapeutics for widely prevalent respiratory disease conditions, including chronic obstructive pulmonary disease (COPD), by utilizing a proprietary drug delivery platform and existing therapeutic agents administered in metered-dose inhalers (MDIs).

What you’ll do

This position plays a key role in performing and streamlining our company’s workflow as the link between various departments, employees, and vendors. As Administrative Assistant, you will be responsible for maintaining an organized office and handling day-to-day administrative responsibilities onsite.

Typical Accountabilities include:

  • Co-ordinate meetings and off-site events including hotel bookings, local travel and transfer arrangements and handling emergency travel situations for both AZ and external visitors
  • Ensure that travel is in line with AZ policy and provides value for money for AZ, taking account of different time zones and the work-life balance of participants
  • Provide information and guidance on processing activities and resolve routine queries and issues to meet customer requirements
  • Follow up on processing activities to ensure the high quality of the service delivered
  • Ensure all procedures and standards are adhered so that processing inputs and outputs meet customer needs

Responsibilities also include:

  • Manage office supply inventory including office equipment
  • Responsible for the organization and upkeep of shared office spaces such as conference, copy and break rooms
  • Send, receive, sort and distribute mail items so that they reach their destinations securely
  • Issuing badges to employees, temps, contractors and vendors
  • Process invoices and expenses ensuring all are paid on time while adhering to strict compliance guidelines
  • Support the Great Place To Work Team; including assisting with planning company and department events
  • Acts as first point of contact, identifying nature of queries and directing to the appropriate individuals
    • Deals with central telephone and email enquiries, directing them to the necessary project team member when required
  • Provides routine support to colleagues requiring the use of Facilities
  • Coordinates with Facilities/ IT department on maintenance and servicing of office equipment and reception and administrative areas.
  • Maintain and secure records in accordance with established policies and procedures
  • Stores all contract documents efficiently and effectively (both hard and soft copies where required)
  • Support the SHE Team
  • Other duties as assigned

Essential for the role

  • HS Diploma or equivalent required, Bachelors degree preferred
  • 5 years of administrative experience plus experience using MS Office Suite (MS Word, Excel, PowerPoint and Outlook)
  • Excellent interpersonal, written and verbal communication skills
  • Strong work ethic, positive attitude, be professional, organized and diligent. This is a team-oriented position that plays an integral role in facilitating processes and procedures.
  • Basic knowledge of procedures and compliance with good manufacturing practice & safety, health and environment requirements
