Position Profile

The IT Advisory Services Administrative Assistant provides administrative support to the Advisory Partners and internal teams. The ideal candidate is a friendly and organized professional responsible for general administrative duties. These include preparing reports, typing correspondence, maintaining electronic binder/filing system and related spreadsheets. This team member has a passion for customer service and assisting others. This person will be required to come into the office. This opportunity offers a warm culture, medical benefits and includes 20 days of PTO per year + 15 paid holidays!

Responsibilities Include

  • Coordinate with other operations groups to ensure seamless onboarding for new hires
  • Manage team resources and scheduling by helping the team identity strategies to manage PTO requests, calendar blocks, firm holidays, deployment, and utilization
  • Coordinate department ordering needs such as holiday gifts, team gifts, catering, etc.
  • Book conference rooms as needed for department across all offices
  • Will help schedule team and local office events
  • Thorough, consistent, high-quality reviews of reports
  • Manage team contact list
  • Billing and finance investigation support
  • Will provide firm policy, procedures, and event resources
  • Perform proofreading responsibilities of engagement letters
  • Executes marketing material send-outs, presentation preparation and manages team graphics

Education and Skills

  • High School Diploma or equivalent
  • 3 to 5 years of administrative experience
  • Punctuality and dependability are required
  • Strong customer service skills are essential
  • Excellent written and oral communication skills
  • Ability to think of “next level” questions to find appropriate solutions
  • Team focused and strong interpersonal skills
  • Strong attention to detail and ability to proofread
  • Experience with organizing, scheduling and maintaining a calendar for a group or an individual.
  • Experience or skill entering data into a database or computer software. (Time entry, expense reporting support, coordination/research)
  • Exceptional organizational skills and ability to multi-task and take direction
  • Professional appearance and manner
  • Proficient in using Microsoft Word, Excel, PowerPoint, Adobe, Outlook and Google Suite software
  • Graphic and content design experience a plus
