Provides support to the Engineering department by processing and submitting documents to support plant projects. Performs administrative tasks and supports plant wide programs and needs.
Primary Responsibilities:
- Responsible for routine Purchase Orders from an accounts payable perspective and
- other duties assigned from the engineering department.
- Submit and follow-up on plans, drawings and other required documents for engineering projects.
- Organizes all Plant visits and tours by scheduling visits, communicating to participants, preparing PPE, procuring meeting rooms and other tasks as needed.
- Maintains PPE room used for outside visitors and ensures equipment is in good repair.
- Order and maintain supplies as needed for various departments across the plant.
- Submit employee boot reimbursement in a timely manner and complete other HR tasks as needed.
- Coordinate plant events by scheduling invitations, ordering meals, ordering supplies, setting up rooms and cleaning up after events as needed.
- Performs general office clerical duties which includes typing and filing as necessary.
- Maintains records as necessary for Plant Manager and others as requested.
- Manages the Plant AMEX BTA Credit Cards for airline, hotel and rental
- cars. This includes a monthly reconciliation of all charges and copies sent to
- Accounts Payable to be paid timely.
- Manages Admin P-Card purchases and reconciles them each month.
- Manages all non-profiled associates’ travel for the Plant. This includes making flight, hotel and transportation arrangements.
- Support department managers with the coordination, set-up and clean-up of meals for visitors, training meetings, auditors etc.
- Ensures confidentiality in all assignments.
Communication:
- Completes proper follow-up of projects to ensure that the desired results are being
- tracked and maintained.
- Always develops and maintains a professional attitude and appearance.
- Maintains a working relationship within and outside the department.
Safety & Quality:
- Follows all Good Manufacturing Practices (GMPs) and good housekeeping practices.
- Uses proper personal protective equipment (PPEs) when on the production floor
- including steel-toed shoes, safety glasses, hearing protection, etc.) Check with the
- Training Department or the Safety Department for the specific protective equipment
- required in each area of the factory.
- Follows proper lifting techniques and ergonomics.
- Never compromises on food safety and always complies with all applicable
- regulatory requirements.
Environmental:
- Recycles all appropriate materials (paper, plastic, food, etc.)
- Understands the environmental aspects of position listed on the Clerical SHE sheets
- and takes action to reduce these environmental impacts by conserving paper,
- electricity, etc.
POSITION QUALIFICATIONS
- 2+ years’ experience in an administrative or clerk role, preferably in a high volume fast paced operations environments
- Ability to type accurately at a rate of 75 words per minute (wpm)
- Highly proficient in Microsoft Outlook, Word, Excel & PowerPoint
- Ability to work independently and self-manage workload
- Must be able to communicate verbally and in written format at a high level and check for understanding
- Highly organized with the ability to maintain/manage various file systems and work projects
- Must be able to maintain confidentiality of information
- Ability to work with a variety of people including various departments and facilities, vendors, contractors, managers, etc..
- Experience in SAP preferred
- Experience working with DocuSign preferred
- Experience working in a technical environment preferred
- Experience working with technical drawing preferred
