About the Role

In this role, you will be responsible for providing support for overall operations of one or more executives (SVP, Corporate HR and SVP, Communications, Engagement and Inclusion): calendar management, business meetings, email support, coordinate domestic/international travel arrangements, complete expense reports and additional tasks/project required. You will also provide administrative support to their larger teams and work alongside other EA’s + AAs as needed.

What You'll Do

  • Provide administrative support with calendar management, scheduling appointments and meetings, answering phones, making travel arrangements, file maintenance, maintaining and ordering office supplies and equipment, assist with getting tech support for phones/computers as needed, processing mail, copying, and planning meetings (meeting room, flip charts, catering etc.) and processing expense reports.
  • Assists with planning of All Hands, AMA’s (Ask Me Anything), and other team events. Responsible for calendar invites, PowerPoint presentation, scripts, catering, and other logistics to ensure the event runs well.
  • Email review of executive’s inbox to pro-actively follow up or bring attention to time-sensitive or urgent matters.
  • Collect and maintain monthly department organizational charts and distribution lists and execute on other monthly tasks such as newsletters, birthday, and anniversary emails, etc.
  • Has substantial understanding of the job and applies knowledge and skills to complete a wide range of tasks.
  • May work closely with outside consultants or vendors that may need support in scheduling for executives or the larger team.
  • Provide ad hoc support to other leadership teams, functions, departments, and other administrative assistants as needed.
  • Support with projects and other ad-hoc tasks as assigned by executives, LT members or other members of their teams.
  • Facilitate new hire-onboarding set up as well as support in termination/equipment return (tech set up, introductory meeting scheduled, new hire packet, etc.)
  • Normally receives little instruction on daily work, general instructions on newly introduced assignments. Works on assignments that are moderately difficult, requiring judgment in resolving issues or in making recommendations. Work is generally of a critical or confidential nature.
  • Ability to handle multiple tasks/projects, concurrently, with tight deadlines.
  • Serve as a department resource and point of contact for teams, functions, and business partners on behalf of leader.
  • This role is based in San Francisco at our HQ however, this role supports leaders in both the East Coast and West Coast.

Who You Are

  • Strong verbal and written communication skills. Ability to communicate and build partnerships with all levels of management.
  • Ability to anticipate needs and issues and can prioritize and handle multiple tasks and deadlines with strong sense of urgency.
  • Proficient and advanced computer skills (e.g., Outlook, OneDrive, Microsoft Office: Word, Excel, PowerPoint, etc.).
  • Ability to understand and navigate how various pieces of the business fit together to get information as needed.
  • High degree of professionalism and confidentiality.
  • Experience in customer service and/or a high-pressure, multitask environment

Hourly Range: $30.87 - $40.10 USD
Employee pay will vary based on factors such as qualifications, experience, skill level, competencies and work location. We will meet minimum wage or minimum of the pay range (whichever is higher) based on city, county and state requirements.
