The Workforce Development Administrative Assistant provides support for all members of the Worley Workforce Development Team. This includes:


  • Perform routine clerical and administrative functions such as drafting correspondence, scheduling appointments, organizing and maintaining paper and electronic files, or providing information through email and telephone correspondence.
  • Maintain financial records and process all vendor invoices for the department.
  • Order, maintain and distribute NCCER Curriculum.
  • Process, verify, and maintain personnel related documentation, including NCCER and Registered Apprenticeship training and certification records.
  • Create, maintain, and enter employee information into databases (i.e., NCCER Registry System and the Worley Learning Management System).
  • Explain company personnel policies and procedures and answer questions regarding NCCER processes to site-based personnel.
  • Obtain, organize, or develop job-aids on standard Workforce Development and NCCER processes and procedures.
  • Maintain department intranet pages that house training materials, policies and procedures, the newsletters and employee testimonials spotlighting certifications and training.
  • Support Registered Apprenticeship Program administrative tasks, including programs at specific sites.
  • Send, share, and file apprenticeship files, documents, and individual profiles accordingly.

Skills


  • This position needs to have strong administrative skills and ability to multitask to manage reporting, paperwork, budgets, and people to support these efforts.
  • Applicants should have excellent oral and written communication skills; and should be organized, enthusiastic, and self-motivated.
  • Familiarity with traditional and modern job training methods and techniques; and able to assist others and troubleshoot issues.
  • Knowledge of Workforce Development systems, processes, and tools (i.e. Registered Apprenticeship and NCCER) will be given special consideration.

Technology / Software


  • Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint, Visio).
  • Adequate knowledge of learning management systems, e-learning platforms, and web delivery tools.
  • This position must have, or be willing to quicky learn, a complete knowledge of the Registered Apprenticeship system, new program development and RAPIDS (Registered Apprenticeship Partners Information Database System) system maintenance.

Education / Experience


  • It is recommended that the applicant have a high school diploma or equivalent.
  • Proficient in Microsoft Office (advanced Excel skills will be given preference)
  • Proven administrative or assistant experience
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and critical thinking skills
  • Excellent written and verbal communication skills
