General Duties:
- Effectively communicate and coordinate with clients and project managers regarding administrative matters (i.e. Jobs Open, invoice copies, receipt backup, etc.) in a clear, concise, and timely manner

Distribute invoices (including review to ensure all appropriate back-ups, waivers, and additional documentations required have been submitted) to clients in a timely manner.
- Continue to review and be proficient in the various online portal's invoice submittal process
- Process employee Expense Reports including expense reconciliation

Open new project jobs in Vision
- Coordinate the monthly Finance & Marketing calls with our 8 offices

Maintain all existing and closed project folders (hard copy/digital)
- Identify then transfer print jobs to appropriate projects in Abacus

During Bill Run, ensure all associated billing reports are distributed to the appropriate offices same day.

At month's end, digitally distribute invoice copies to the associated studios for record keeping.

Maintain/update Client-Billing Rules within Vision and in Excel.

Scanning of contracts, wire and check payments

Provide general administrative support to the Accounting Team
Other possible duties on an as needed basis:
- Provide support and backup as needed to the Accounting Team, while learning our systems & processes.

Bookkeeping background, MS Office Suite: Intermediate Excel user, experienced Deltek Vision user a plus

The candidate must be able to accomplish all of the above with a good attitude, a smile and a team-player attitude.
Education: Associates Degree (A.A.) from a two-year institute; or over two years related working experience within a semi-corporate environment; or equivalent combination of education and experience.
