Morgan, Lewis & Bockius LLP, one of the world’s leading global law firms with over 4,000 lawyers and staff in 31 offices, has an opening for an Administrative Practice Assistant in the Intellectual Property Practice Group, reporting to the Administrative Support Manager. This position will reside in the Philadelphia office and will be responsible for providing administrative to the Global Practice Group Leader for the Intellectual Property Practice Group as well as our firm’s practice groups in an environment where superior client service is emphasized and practiced.
This position will reside in our Philadelphia office with a hybrid in-office/remote working schedule.
Key responsibilities of this position include:
Provide administrative support to Global Practice Group leader for Intellectual Property, Partners, Associates and Paralegals
Proactively manage daily patent prosecution dockets, ensuring all deadlines are met and communicate same to the docketing team
Prepare routine patent correspondence, reports and responses for filing; not limited to reporting communications to clients
Prepare Information Disclosure Statements
Maintain patent prosecution files
Provide backup support to other team members in the IP Group
Perform other relevant duties in the practice area as directed
Manage emails, maintain calendars, schedule meetings and arrange audio and video conferences
Assist with time entry, schedule and manage travel arrangements and expense forms
Assist with opening of new matters; prepare conflict checks, engagement letters and new business intake
Process expense reports, check requests, scanning, copying, word processing, and coordinate incoming/outgoing mail, faxes and emails
Arrange travel and prepare travel itineraries
Experience/Qualifications:
Bachelor’s degree preferred; Minimum high school diploma required or equivalent combination of education and experience
A minimum of 3-5 years of administrative experience in patent prosecution preferred, preferably at a law firm or similar environment
Demonstrated proficiency in Microsoft Office, including advanced Word skills
Strong organizational skills, attention to detail, the ability to balance multiple tasks in a fast-paced environment, and the ability to manage confidential information with discretion
Excellent written/verbal communication skills, strong interpersonal skills, and the ability to work independently and as part of a team
Ability to prioritize, multi-task and produce a high-quality work product to meet deadlines and perform job responsibilities under pressure efficiently, productively and in a professional manner
Ability to manage highly sensitive information is required, as are excellent organizational skills and attention to detail
Flexibility to work overtime is required
