Job Description
Provide operational and administrative support to attorneys in the Office of University Counsel and manage the daily operations within the office under the direction of the Executive Assistant. Set up, manage, and coordinate calendars/schedules/meetings. Generate simple or routine correspondence and sending of same and provide other general administrative support.
Office duties including coordinating maintenance and repairs to printers and copy machine, ordering supplies, keeping online and print subscriptions updated, fielding and appropriately directing incoming calls and email inquiries.
Under the direction of counsel, track and handle all subpoenas and record requests as they come into the University and write and track all correspondence back to attorneys/courts. Communicate with campus-wide staff to obtain records in response to these subpoenas and requests.
Assist on specialized projects, including research projects, and act as resource expert for creation and production of documents, spreadsheets, charts, presentations and mailings for the Office of University Counsel and its team members.
Other duties as assigned.
Qualifications
Four-year degree or a combination of education and experience that is equivalent to a four-year degree, plus three to five years of relevant administrative experience, ideally in a legal setting.
Job Specific Qualifications
Excellent verbal, written and communication skills are required (i.e. the ability to communicate effectively verbally and through written correspondence as well as communicating with individuals in one-on-one situations.
- Exhibit high degree of trustworthiness and ability to maintain strict confidentiality.
- Demonstrate experience drafting and managing professional correspondence.
- Must be conscientious, organized and attentive to detail.
- Must be able to work independently, use initiative and make substantive decisions quickly.
- Demonstrate an ability to develop knowledge of, respect for, and skills to engage with those of other cultures or backgrounds.
- Show an ability to balance routine work with non-routine projects and prioritize multiple assignments at the same time, while maintaining accuracy and thoroughness.
