POSITION RESPONSIBILITIES:
General Administrator Duties:
  • Assisting PIs with hiring and onboarding of new personnel, including management of salary and visa requirements.
  • Processing payroll changes, work orders, visa extensions or status changes.
  • Maintaining stocks of office supplies, assisting labs with ordering of research supplies.
  • Processing lab coat requests and cancellations.
  • Monitoring and maintaining equipment service contracts.
  • Interacting with senior M&I department administrator in preparation of yearly department operating budget.
  • Assisting PIs with scheduling and organizing seminars, sending invitations and making travel arrangements.
  • Scheduling room reservations for seminars or intra-departmental meetings.
  • Processing work orders for housekeeping, engineering, maintenance or IT service requests.
  • Maintaining up to date competency in relevant computer software (Microsoft Office, EndNote, others if needed).
  • Interacting as needed with departmental and institutional IT experts to maintain basic computer and network functions.
  • Providing interface with Human Resources Department as needed for dealing with personnel issues.
Pre/Post Grant Award Related Duties:
  • Assisting PIs and their lab members with preparation and submission of grant applications and contracts. This includes collecting and organizing components of grant applications, preparing grant budgets and budget justification, and other standard documents.
  • Reviewing and updating standard documents for grant applications (e.g., biosketches, other support pages, resource & facilities descriptions, etc.) and assisting faculty with overall formatting of proposals for submission.
  • Working with Research Finance administrators on setup of subcontracts or consortium agreements, and interacting with other department administrators for multi-PI grants.
  • Assisting PIs with financial reporting requirements for funded awards, including completion of progress reports in compliance with sponsor and institutional guidelines.
  • Monitoring spending to comply with the guidelines and budgets of awards.
  • Assisting with preparation of progress reports, and working with PIs to prepare personnel reports and requests for changes in personnel.
  • Meeting semi-monthly or as needed with senior M&I department administrator to discuss and review status of the faculty’s grants or other administrative issues.

QUALIFICATIONS:
Bachelor's Degree required and 2-4 years experience with research grants,knowledge of general accounting principles.

Minimum Salary Range: USD $99,000.00/Yr. Maximum Salary Range: USD $115,500.00/Yr. ABOUT US:
The Administrator provides general administrative support including pre/post award management of grants for the laboratories of three senior principal investigators (PIs) in the Department of Microbiology & Immunology (Drs. William R. Jacobs , Felipe Diaz-Griffero and Gregoire Lauvau).
