POSITION RESPONSIBILITIES:
The administrative assistant provides administrative support to the Microbiology and Immunology senior administrator as well as to the grant manager, faculty and is back up person to the department's lead purchase person.
Responsibilities include but are not limited to:
- Answer telephones and provide appropriate information to callers, take messages, transfer calls; schedule appointments, meetings (zoom as well as in-person), maintain applicable calendars
- Assist in the coordination of conferences and special events. Activities may include preparing the agenda, arranging meeting facilities, making travel arrangements and handling supplies/refreshments as
need
- Independently prepares routine correspondence for the Microbiology and Immunology senior administrator, as well as for the faculty, grants manager, and the lead purchase person
- Assists the faculty with the Microbiology and Immunology courses, utilizing computer-based programs for uploading course materials created by the faculty for the Virology and Immunology courses. Ensures
that the course outlines, exams, schedules are uploaded in a timely manner.
QUALIFICATIONS:
Experience and Education Background:
High school diploma and 2-4 years of administrative support experience are required. An equivalent combination of education and experience will also be considered.
Skills and Competencies:
1) Must be able to see the big picture
2) Must possess working knowledge of Microsoft Word, Outlook, and Excel. Should be comfortable using other web-based programs as assigned.
3) Must demonstrate good judgement, initiative, and attention to detail
4) Must be able to work independently and produce quality work from conception to completion of assigned projects
5) Must possess customer service, communication, and organization skills
6) Uses independent judgement in responding to inquiries regarding policy/procedures and regulation
Scope of Responsibility:
This position deals with individual and groups, both internal and external to the college, exercising independent judgement on routine matters requiring knowledge and interpretation of policy
