Illinois Residency Requirement: This position requires Illinois residency within 180 calendar days of the start date.


The Department of the Registrar is currently accepting applications for an Admissions Records Officer to assist current and prospective students by providing a seamless transfer process. This position includes performing transcript evaluation, interpreting IAI and SIUE program curricula, connecting students with SIUE resources, and assisting the Office of Admissions and Office of the Registrar in identifying these students.


Responsibilities and Duties

  • Interpret SIUE course content in each discipline, develop procedures related to acceptance and designation of transfer credit, review and make decisions on external credit equivalency to SIUE curriculum and catalog information.
  • Entering and evaluating external credit, prior learning assessment, and other forms of credit evaluation for application of internal credit. Entry, interpretation, updating and retrieval data information by utilizing but not limited to Student Information Systems, Degree Audit System, Document Imaging System, Argos, etc. Provide relevant communication to students, faculty/staff, prospective students, and others in the University Community.
  • Conduct research, build, and maintain transfer credit evaluation resources and student information systems equivalency data via review of external and/or internal course catalogs and syllabi.
  • Counsel and advise prospective students, continuing students and University community regarding University practices/policies pertaining to but not limited to transfer credit, military and prior learning assessment, curriculum/degree progress, etc. Travel to other campuses and/or community college locations as required.
  • Serve students who are making the transition from other institutions or prior experiences to SIUE by providing assistance with but not limited to academic majors/minors, student life, course registration, transcript request, viewing transfer credit, financial aid, scholarships, housing, student orientation, graduation, and other student support services as needed.
  • Participate in special projects and/or appropriate committees. Participate in training opportunities, career development, and/or informational gathering events on or off campus as assigned.

Minimum Acceptable Qualifications:
  • High school diploma or equivalent.
  • Any one or combination totaling three (3) years (36 months) from the categories below:
    • course work in any discipline as measured by the following conversion table or its proportional equivalent:

30 semester hours equals one (1) year (12 months)

60 semester hours or an Associate’s Degree equals eighteen months (18 months)

90 semester hours equals two (2) years (24 months)

120 semester hours or a Bachelor’s degree equals three (3) years (36 months)

  • work experience in administrative support, admissions and enrollment, customer service, public relations, records management, or closely related experience.

Preferred Qualifications:

Knowledge, prior work experience, articulation of transfer credits, and experience in higher education.

In-depth familiarity with university regulations and practices, as well as professional interactions with a variety of university stakeholders, such as faculty, advisors, departmental support staff, chairs, deans, students, parents, and external institutions.

Must retain the capacity to examine and interpret SIUE program curriculum, Illinois Articulation Initiative (IAI), and articulation for traditional and post-traditional transfer credit.

Demonstrate a professional manner, have proficiency in interpersonal communication, problem-solving, quick learning, active decision-making, ability to work both independently and with others, comfort with technology, proficiency with MS Office, and excellent data entry skill sets.
