Airalo is seeking our first Events Specialist to lead our efforts in planning, coordinating, and executing a variety of industry events, including conferences, trade shows, exhibiting events, strategy meetings, corporate events, and product launches. This role requires a detail-oriented individual with excellent organizational skills and the ability to manage multiple projects simultaneously. Our Events Specialist will work closely with internal stakeholders, such as the Partnerships department, external vendors, and clients to ensure the successful delivery of high-quality events that align with the company’s objectives.


Responsibilities include but are not limited to:
  • Identify and create a pipeline of relevant events, based on the Partnerships department priorities
  • Plan, organize, and execute events from concept to completion, including conferences, trade shows, and corporate events.
  • Oversee the entire planning process for assigned events, from conceptualization, negotiate quotations and contracts, and budgeting to venue selection, vendor management, and logistics coordination.
  • Develop event concepts and themes that align with organizational goals and audience interests.
  • Coordinate all event logistics, including catering, audiovisual equipment, transportation, and accommodations.
  • Act as the main point of contact for clients throughout the planning and execution stages, ensuring effective communication, managing expectations, and delivering exceptional customer service.
  • Develop and manage event budgets, ensuring events are executed within budgetary constraints.
  • Track expenses and prepare financial reports related to event activities.
  • Collaborate closely with internal teams, including partnerships, creative, finance, and other internal to ensure seamless integration of all event components and deliver unified experiences that surpass client expectations.
  • Work with our creative team to develop innovative event concepts, themes, and designs that align with client goals and brand identity.
  • Provide regular updates to stakeholders on event planning progress and address any concerns.
  • Manage on-site event operations, including setup, registration, and teardown.
  • Ensure smooth execution of the event schedule and handle any issues that arise
  • Conduct post-event evaluations to gather feedback and identify areas for improvement.
  • Prepare detailed reports on event outcomes and recommend improvements for future events.
  • Ensure all events comply with relevant laws, regulations, and safety standards.
  • Keep up-to-date with industry trends, best practices, and emerging technologies to continuously innovate and enhance our event offerings.


Must haves:
  • Bachelor’s degree in Event Management, Hospitality, Marketing, or a related field.
  • Minimum of 3+ years of experience in event planning and coordination in Tradeshows and conferences.
  • Advanced or fluent English level.
  • Excel in a fast-paced, deadline-driven environment, maintaining composure under pressure.
  • Excellent organizational and project management skills.
  • Strong communication and interpersonal skills.
  • Ability to manage multiple events and priorities simultaneously.
  • Creative problem-solving abilities and attention to detail


Good to haves:
  • Experience in SaaS, travel, or telco industries
  • Experience with event management software
  • Experience with CRM tools, like Hubspot
