Position Summary:
This position supports the Investigations and Security Services staffs as well as the Global Security Leadership team on a global basis (200+ employees and 1500+ contractors) in the following areas:
• Technology
• AET Liaison for technology-related projects
• Coordinator for internal/external training initiatives
• Colleague Experience/Recruitment
• Prepare and submit Job Postings
• Support and prepare Job Descriptions
• Navigator/My Info SME
• Assist with CES (Colleague Experience Survey) and other Benchmarking Surveys
• Operations
• Prepare and analyze departmental reports (FOAR, FLA, Executive Protection, Training, Community Service, Reward Blue, etc.)
• Support Leadership team with Year-end Process
• Projects as required for Global Security Leadership team
• Payroll, TEV inquiries, ARIBA SME
• Meeting Planner/Coordinator for Management Team
• Assistant Leased Vehicle Fleet Administrator
• Finance
• Supplier Sales & Use Tax Inquiries
• Cost Benefit Analysis related to adhoc projects (i.e. RFPs)
• Headcount - FTE and CWR (contractor) tracking support
• Global Supply Management
• Ordering equipment and supplies
• Assist with Vendor onboarding process
• Submission of PR/PO requests
Principal Accountabilities:
• Manage ad hoc projects as assigned by Global Security Leadership team.
• Prepare and analyze Quarterly and Annual department reports.
• Act as SME for a variety of operations/administrative functions.
• Assist in supervision of a 2 member team responsible for supporting the North America Investigations team. The team is also responsible for processing restitution checks received from defendants convicted of fraud against AmEx. The team can process an average of 3,000+ checks for a value of $2.6M+ on an annual basis.
• Assist in the development and implementation of strategies and creative solutions to existing processes to support Global Security’s overall goals. This includes evaluating opportunities for process improvements, including the sharing of best practices, e.g., SWORD, Global Security Intranet Site, Field Office Activity Reporting (FOAR), SWORD Executive Protection, etc.
• Primary point of contact with AET/EUC/Mobility teams for Global Security issues and projects (SWORD enhancements, remote office/virtual employee support, BYOD/COD, automation of existing statistical reports through database development, network issues, etc.)
• Liaison with various equipment vendors to resolve billing and service issues (AT&T, T-Mobile, Verizon).
• Statistical Reporting Duties: Responsible for generating the following department reports:
• Field Office Activity Report (FOAR)
• Fraud Loss Avoidance (FLA)
• Quarterly Reward Blue Report
• Provide support to Security Offices on a global basis and all virtual employees to ensure administrative/operational uniformity, adequacy, and efficiency.
• Review and update content on the Global Security and Company Sharepoint/websites including, procedure manuals, organization charts, group address lists, etc.
• Support the VP – Global Security Operations with the Performance Management Process (PMP).
• Support the VP – Global Security Operations with the Colleague Experience Survey.
• Support the VP – Global Security Operations in the preparation of communications detailing Global Security Department initiatives.
• Support the VP – Global Security Operations with tracking of GS colleague headcount and position changes.
• Reward Blue Coordinator
• Primary point of contact for job posting process. Prepare all staffing requisitions for posting on Career Track. Assist People Leaders with the process.
• Assist colleagues with MyInfo changes/edits/updates
Critical Challenges/ Unique Knowledge & Skills:
The key challenge for the incumbent is to effectively balance a diverse but equally important set of responsibilities. Therefore, this position requires a high degree of organizational skill and the ability to independently prioritize work and make decisions: generation, analyze, and review of reports, decisions on methodologies to ensure compliance and recommendations for remediation to Global Security management. Additionally, a strong finance background to assist with monthly/adhoc analysis that will impact and provide GS Leadership data to make critical strategic decisions.
The incumbent needs exceptional networking and communication skills to develop and maintain business relationships (CEG, AET, GSM, Talent Acquisition/Recruitment) and work on cross-functional teams as well as an extensive understanding of the overall strategy and broad business objectives of the department and the Company.
The incumbent must be fully conversant with Company policies and AET standards to ensure that Global Security personnel are provided with the most appropriate equipment to perform their duties. Proficiency in Microsoft Office applications and proprietary databases (SWORD).
Writing ability is essential to effectively research and prepare reports.
Strong leadership, decision making and interpersonal skills to manage and direct staff, handle conflict, motivate others and improve teamwork and productivity.
The incumbent must be detail oriented and results focused; willing to challenge the status quo and lead change as necessary.
The incumbent must demonstrate commitment to joint accountability and the success of peers. Shares critical expertise and knowledge to support partners and colleagues.
Salary Range: $80,000.00 to $155,000.00 annually + bonus + benefits
