Responsibilities:
We currently have a great opportunity available for an Executive Administrative Assistant. The Executive Administrative Assistant will work in the Executive C-Suite, reporting to the CFO. Responsibilities include active participation on the Finance Leadership Team, acting as an extension of the CFO, developing, preparing, and delivering presentations, maintaining active lines of communication with Finance counterparts in South America, Asia, and Europe, managing and selection of vendors, meeting planning, coordination of global travel for CFO and visitors, supporting the CEO and other C-Suite executives as needed, schedule/calendar management, and expense oversight. Essential Duties and Responsibilities:

Active participation on the Finance Leadership Team.
-
Represent the CFO office, manage and assist with personal interactions with Sysmex staff, maintain communications and coordinate with personnel in South America, Asia, and Europe.

Develop, prepare, and deliver communications, including but not limited to the following: PowerPoint presentations, excel, email, reports, social media, etc.

Selection, relationship building, and management of vendors.
-
Gather, review, and summarize information requested by the CFO, follow-up with further instructions and questions as needed.

Assist in developing, managing, updating, and enforcing company policies and procedures, including job descriptions, organization charts, reporting, etc.

Coordinate and arrange travel for CFO and visitors, provide support to the CFO in expense management.

Manage and maintain business, legal, personal files, contacts, and documents in electronic filing systems, such as Microsoft Office, company CRM, SharePoint, Microsoft Teams, etc.

Team / collaborate with other Executive Admins to provide support at major SAI events, such as conventions or national meetings, or to other executives during absences.

Other special projects and tasks as required.
Percentage of Travel: 5%
Qualifications:
- Associate degree or five years required experience in administrative or office support, or the Armed Forces. Bachelor’s degree preferred.
IAAP CAP and OM certification a plus.
CMP certification a plus.

A minimum of five years supporting C-Level executive, Senior Partner, Managing Director, or General Manager in a Corporate organization.
- Fluent in English, with emphasis on proper use of grammar in business correspondence. Must be able to articulate clearly in oral communication and use ‘borrowed authority’ effectively and persuasively.

Advanced knowledge of Microsoft Office including Outlook, Excel, PowerPoint, etc.
