The IWT Business Manager plays a key role in the financial and administrative oversight of all IWT programming. This position facilitates and oversees registration for all workshops (on campus and onsite at schools worldwide) and campus organizational details, and office management in consultation with the IWT Director and IWT Deputy Director. The IWT Business Manager also supervises IWT’s Events and Workshop Manager.Responsibilities Include, But Are Not Limited ToGeneral Accounting• Invoices schools and districts for onsite workshops and serves as day-to-day liaison with the Bard finance office for deposits, and PayPal reconciliations• Oversees budget line-item activities, IWT credit card reconciliation, and recordkeeping• Submits all requisitions for payments pertaining to workshops, IWT Associate Faculty stipends, building maintenance expenses, honorariums, travel and related expenses, and speaker expenses• Works with HR to set up IWT Faculty Associate new hires, including international Associates. Coordinates with Bard Payroll to get them set up for exception payroll timesheets• Oversees IWT Associate Faculty contracts for all workshops• Processes student payroll and maintains student payroll budget• Develops the IWT budget in collaboration with the IWT Director• Develops and tracks budgets and budget reconciliations for grants, restricted budgets, and budgets for programs in schools, etc. (with the support of IWT Director)• Maintains accurate QuickBooks software for accounts payable and receivable, payroll, and daily financial entries and reconciliationsGeneral Administrative• Oversees daily running of the program office & is the primary office liaison with other Bard offices• Supervises IWT Events and Workshops Coordinator in the upkeep of IWT’s database in Salesforce and workshop registrations• Assists with the creation of participant/promotional materials for conferences and workshops at Bard, including social media marketing• Disseminates email announcements to workshop leaders and participants as necessary• Works closely with IWT Events and Workshops Coordinator arrange events, catering, space reservations, and logistics for Bard IWT workshops• Oversees upkeep of office supplies and equipment, including copier• Schedules building maintenance and submits work orders as necessary• Other program requirements: active presence for all IWT Bard programming— conferences, workshops, meetingsQualifications• Previous administrative experience• Excellent speaking, writing and computer skills• Knowledge of MS Office including Excel, Acrobat, QuickBooks, and PowerPoint• Knowledge of Salesforce is preferred• Experience working in a fast-paced environment, where high attention to detail is demonstrated• Able to work independently and well under pressure, organizing event logistics, and performing many tasks simultaneouslyApplication InstructionsInterested candidates should submit a letter of application, a resume, and the names of three references through Interfolio at https://apply.interfolio.com/151329.Compensation: $65,000-$70,000This salary range reflects the College’s good faith and reasonable estimate of the compensation for the position at the time of the job posting.
