Responsible for the administration and support tasks related to the leave of absence and disability accommodation program, including those arising under the Family and Medical Leave Act (FMLA), the Americans with Disabilities Act (ADA), state leave and disability laws, and short-term and long-term disability plans
Responsibilities
As subject matter expert, applies knowledge of FMLA, ADA, other applicable laws and Dartmouth-Hitchcock policy to provide end-to-end management and consultative support to employees and managers throughout the leave and/or accommodation process.
Responsible for responding to inquiries from employees who have a need for a leave or accommodation; ensuring that employees have information regarding leave options, eligibility, available benefits, and the request/claim process.
Advises managers and employees on leave of absence policies and procedure, interaction of leave laws with paid time off, workers’ compensation, and short-term and long-term disability benefits.
Provides information and guidance to employees, managers, Payroll, and HR colleagues as appropriate during the leave process, including communicating changes regarding leave status and return to work arrangements.
Responsible for working with the third party leave, disability and accommodation services provider to manage leaves, disability claims and accommodations and to escalate/resolve issues that arise. Works with internal legal counsel where appropriate on legal issues pertaining to leaves and accommodations.
Evaluates requests for accommodations under the ADA or other applicable laws and engages employees, supervisors, and others as appropriate in the interactive process. Where appropriate, contacts the health care provider and internal medical resources to obtain further information or clarification on employee leave and accommodation cases.
Responsible for developing leave and accommodation related communications and sending to employees within appropriate timeframes based on policy guidelines.
Maintain Excel spreadsheets of leave of absence data and reports on employees’ protected leave time taken, when requested.
Tracks and enters paid time off benefits in payroll system to ensure timely and accurate payment, and ensures information is up to date for all employees on leave and returning from leave.
Proactively runs status reports and checks for case updates on vendor’s systems. Develops tracking and reporting framework; produces regular, timely reporting and analysis to key stakeholders.
Maintains knowledge of all applicable leave and accommodation laws, including the FMLA, ADA, and state and local laws.

Qualifications
Bachelor’s degree with 3 years of directly related experience in leave of absence and disability accommodation administration.
Working knowledge of leave requirements, disability accommodations, and other legal protections afforded by the FMLA, ADA, and other applicable laws.
Completion of specialized certification or training on FMLA/leave administration and/or ADA preferred.
General knowledge of the principles and practices of human resource management.
Strong interpersonal communication skills with ability to interact effectively and establish working relationships with people at all organizational levels.
Must be able to function as a team member, yet take initiative to prioritize work, handle multiple tasks, and meet deadlines.
Ability to work independently, problem solve complex employee issues and make effective recommendations using critical thinking skills.
Must demonstrate excellent judgment, including an effective ability to identify when guidance may be necessary from management, internal counsel, or others
Exceptional organizational skills and attention to detail.
Ability to handle data with confidentiality.
Proficient in Microsoft Excel, Word and Outlook.
