Position Summary

Serves as the Lead to Centralized Scheduling, and assists in all aspects of the New Patient Coordinator and Scheduling teams. This position serves as a liaison between consumers (staff, patients, healthcare professionals, and general public) and advocates the patients’ needs. Position schedules all new and return appointments for Adult & Pediatric Neurology, verifies insurance and demographic information, mails out appropriate paperwork to patients and ensures physician’s schedules are accurate. This position is responsible for answering a high volume of calls on the scheduling phone line. These activities take place over the phone or by email, with no patient contact.

Job Description

Primary Duties & Responsibilities

  • Demonstrates a high commitment to excellence in service and quality through interactions with Neurology faculty and staff, referring physicians, patients and their families and alignment with the Department of Neurology’s Mission and Vision.
  • Schedules all new and return patient appointments for sections of Adult and Pediatric Neurology, as outlined in each section’s guidelines. Answers a high volume of incoming calls and serves as a liaison between patients, section administrative staff and healthcare professionals. Verifies and updates all demographic, insurance, diagnosis, and referring physician information.
  • Works with physician and/or appropriate personnel to appropriately triage patient phone calls, tasks, and e-mails as needed. Works with others to solve problems of a moderate or complex nature.
  • Collaborates with the Supervisor of Scheduling to coordinate staff education, meetings, and process improvement implementations. Ensures physician schedules are meeting Department expectations by ensuring all appointments are filled, scheduled correctly, and meeting all levels of Departmental Policies and Expectations. Works in conjunction with the Supervisor of Scheduling and staff to correct any discrepancies.
  • Acts as backup during employee shortages and/or absences by assisting all positions within each area of responsibility. Assists with on boarding new staff. Serves as primary trainer for new staff members in conjunction with Supervisor of Scheduling.
  • Performs other duties as assigned.

Preferred Qualifications

  • Working knowledge of general office equipment and computers.
  • Organization and communication skills that require discretion with confidential information.
  • Experience working independently, prioritize multiple tasks, and have knowledge of medical terminology.
  • Ability to handle busy phones and capable of working in a fast-paced environment.
  • Demonstrated knowledge of Epic scheduling system, including template.
  • Possess strong interpersonal skills; handle stressful situations and have excellent decision-making skills.

Required Qualifications

  • High school diploma or equivalent high school certification with five years of experience in a medical office environment or related field.
  • Knowledge of medical terminology.
  • Extensive telephone experience with demonstrated exceptional phone etiquette.
  • Experienced in a managed care setting.
  • Experience using the Epic System; familiar with WUSM services and programs.
  • Extensive knowledge of data entry/computer experience with an automated scheduling system.

Grade

G08-H

Salary Range

$20.15 - $31.26 / Hourly

The salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
