Executive AssistantREQ197044222 Richmond StreetJob Description:SummaryThe Executive Assistant position is responsible for providing critical, high level administrative support to the Senior Associate Dean of Medical Education in a fast paced and ever-changing environment as well as management of the Medical School's room scheduling calendars. Manage the Senior Associate Dean's complex calendar and scheduling, coordinate meeting preparations and travel arrangements, create PowerPoint presentations, edit and write correspondence, manage and/or support assigned special projects, and answer and place phone calls as needed. Timely ongoing management of filing systems. Proactively and perceptively organize the Senior Associate Dean's schedule and calendar often involving highly sensitive/confidential matters. Serves as the first point of contact for the Senior Associate Dean. Also processes and tracks financial transactions, including account reconciliations, check requests, interdepartmental invoices, professional service agreements, and expense reports.Additionally, this position is responsible for the management of the 30+ Medical School academic‐related Google calendars and is a collaborative member of the Deans Office support team and will lend ad hoc assistance and coverage as needed to other Medical School administration as assigned.Job QualificationsEducation and Experience:• Required: Bachelor's degree plus 1-2 years' experience or Associates Degree plus 3 years' experience• Senior level executive administrative support experience is advantageous.• Experience in a university setting is a plus.• And/or equivalent combination of education and experience.Job Competencies:• Excellent computer skills, including fluency with Microsoft Office suite and Google Workspace.• Proficiency with Zoom, WebEx, and other virtual video conference platforms.• Highly effective oral and written communication skills with the ability to effectively deal with a diverse population• Ability to maintain the strictest confidentiality• Basic math skills to prepare/assist in preparing budgets and other financial documents.
