Capstone Office Specialist

The Capstone Office Specialist provides accurate and professional administrative and office support for the Capstone Office Managers as we work with the directors, coaches, and 350+ students in our program. This position offers the opportunity to work part time in a fun office environment on BYU Campus while gaining experience in using the financial and office processes, software, and systems used university-wide. As part of the office staff, you will play an important role in helping assist the student teams with the financial transactions needed for their project hardware. You’ll also assist in monitoring and analyzing the financial aspects needed to run and maintain the Capstone program, with an annual budget of $1M. In addition, you will occasionally mentor students in understanding some of the business aspects of being a practicing engineer, and help prepare for and carry out program events.

The Capstone program helps senior engineering students become better design professionals as they work on a real-world engineering project and prepare to start their careers. The Capstone office interacts with these students for an entire school year and helps them navigate the course successfully.

What you’ll do in this position:

  • Creating, Recording, and Reconciling Transactions
    • Process financial transactions created through purchasing
    • Record financial transactions in Capstone budgeting and financial databases
    • Input and help manage information in Capstone databases
  • Purchasing
    • Place online and phone orders for Capstone teams as directed by Capstone administrative personnel
    • Receive shipments of ordered project materials and notify teams of packages available for pick-up
  • Financial Reporting
    • Coordinate with Capstone office manager in tracking the invoicing of incoming sponsors and identifying collections on unpaid balances
    • Track payments, ensure all monies received are added to Capstone financial accounts, and provide regular financial information to the Capstone office manager
    • Track monthly finances against annual budgetary goals
    • Work with monthly university financial statements to create monthly Capstone balance sheets and financial reports
  • Event Planning
    • Assist in planning, scheduling, and running Capstone Presentations (twice each year, 50+ student teams present and 300+ people attend)
    • Assist with faculty coach meeting venue and food set up, approximately eight times each year
  • Providing Course Support
    • Assist as needed in the editing and posting of instructional materials for students and faculty coaches
    • Assist office manager to coordinate with student teams and help plan various forms of travel
    • Perform other tasks and duties as needed and assigned by the Capstone office manager.

What qualifies you for this role:

Required

  • A firm commitment to the mission of BYU
  • Associate’s Degree or 2 years of college and 1+ year of work experience, or equivalent combination or education and experience
  • Financial reporting knowledge and skills.
  • Works well with people and communicates effectively both through email/phone as well as in person.
  • Self-motivation to complete projects without supervision.
  • Ability to maintain a positive and proactive attitude.
  • Organizational skills and detail-oriented personality.
  • Effective use of MS Word and Excel software programs
  • Ability to quickly learn new computer software programs

Preferred

  • Bachelor’s Degree
  • 3+ years of work experience
  • Educational experience in bookkeeping or accounting, finance, and business
  • Work experience with weekly, monthly, and annual finance tasks
  • Prior work experience at BYU
  • Basic skills with InDesign, Illustrator, and Photoshop

Please note that we are able to be more flexible with work hours during Christmas break and some summer months, as the larger part of our workload occurs during Fall and Winter semesters each school year.
