Full-Time | Philadelphia/Hybrid

Catapult Learning, a division of FullBloom, is seeking a full-time, Program Assistant. The Program Assistant acts as a key member in support of Catapult programs in Philadelphia and throughout PA by providing daily operational support and high-quality customer service for the program office. The ideal candidate for this role assists with data collection, data entry, reporting and planning logistics to promote successful and efficient departmental operations.

This role is full-time, 37.5 hours per week. The work location is mainly virtual with possibility of having to go in-office (Philadelphia) a few times a month.

Qualifications/Requirements

Ability to manage projects that involve multiple program partners
The drive to see projects through to completion
Precision and attention to details
Ability to work primarily in a remote setting with a commitment of 3-5 days on-site per month
Experience Level: 1-3 years

Essential Functions:

Monitors time and effort, service delivery, and attendance documentation for federal and non-federal grants
Partners with program supervisors to collect and revise documentation if needed - including follow-up with both internal and external stakeholders
Assists Billing team with monthly invoicing packages
Assists Receivables team with tracking and follow up on invoice aging status
Tracks grant funded expenditures for compliance.
Runs reports as requested from the data collected.
Maintains an organized electronic filing system for all paperwork that is always audit ready.
Supports the local teams with other special projects and duties as assigned by supervisor.
Other duties may be assigned.
