Job DescriptionAvantax, Inc. (Avantax), a unique community within Cetera Holdings, is seeking an Administrative Assistant who will be responsible for confidential and time-sensitive material. Levels are determined based on advanced job knowledge/efficiencies, years of experience, and the ability to oversee projects and recommendations for more efficient processes.What You Will DoThe major responsibilities of the position are listed below. To perform the job successfully, the individual must be able to execute each essential duty satisfactorily. Reasonable accommodation may be made to enable individuals with disabilities to perform essential functions.• Answer and direct calls to an appropriate team member.• Receive, sort, and distribute incoming mail.• Welcome visitors and notify proper staff of their arrival• Prepare and send client mailings.• Handle confidential and non-routine information.• Perform filing/record-keeping duties, both hard copy and electronic.• Handle distribution, receipt, and documentation of legal agreements via DocuSign.• Assist in the month and year-end procedures and reporting.• Responsible for the client service program.• Conduct research, as requested.• May relieve management of administrative-type functions to increase the time management available for management-level responsibilities.• Coordinate appointments, luncheons, and travel requests.• Compose and monitor memos, letters, emails, general correspondence, engagement letters, invoices, expense reports, and special projects as requested.• Prepare, compile, and update marketing packets and other documentation for accounts.• Train, direct, and lead the work of others on special projects.• Act as a communication liaison for leadership, maintaining confidentiality and exercising discretion.• Work toward continuous quality improvement.What You Need To Have• High School diploma/equivalent required, Associate’s degree (A.A.) or technical school training preferred.• Six months to two years of previous related administrative assistant experience and/or training is required.• Two to four years of previous related administrative assistant experience and/or training are required.• Three to six years of previous related administrative assistant experience and/or training are required.• Four to seven years of previous related administrative assistant experience and/or training are required.About UsWhat we give you in return:BenefitsNot many teams can say that they support people’s dreams coming to life… We happen to do that every day.
