Position Summary:
Responsible for planning and execution of events and sponsorships for Orlando Health to increase awareness of the organization’s commitment to corporate citizenship in the community.
Responsibilities:
Essential Functions
- Maintains and executes community asset inventory, invoices and budgets for sponsored events.
- Conducts research for potential community partners. Collaborates with internal departments to identify greatest area of need and develop plans to activate community engagement.
- Coordinates outside speakers with community partners if applicable. Coordinates with exhibitors if applicable.
- Coordinates all event day logistics and attends event for sponsored events.
- Coordinates all post event logistics. Schedules and facilitates post‐event debrief with the planning team.
- Develops, maintains, and communicates the annual calendar of all events.
- Controls the inventory of event materials such as banners and displays. Determines material that will best support the brand message for the event, and assigns inventory to events based on priority.
- Facilitates an event planning committee, schedules committee meetings, and prepares updates for leadership.
- Collaborates with the OH Foundation on co‐sponsored events.
- Arranges for venue and food service as needed.
- Coordinates outside agencies to develop collateral or signage for the event as required.
- Identifies appropriate internal physicians and staff for events. Coordinates logistics and scheduling to ensure there is sufficient representation at the event.
- Maintains budget and dashboard reports and ensures the Community Relations website, collateral and social media outlets are updated.
- Understands the target audience, and develops creative activities to engage attendees.
- Sources and purchases branded give‐aways based on expected attendance.
- Coordinates logistics as necessary with event sponsor and other outside parties.
- Attends the event and serves as the onsite coordinator to ensure team is prepared and knows their roles, and serves as a liaison with the event sponsor.
- Coordinates the event tear‐down. Coordinate team input post‐event to identify strengths and weaknesses as well as opportunities for improvement in the execution of future events.
- Coordinates with the Community Relations Manager to ensure internal projects/initiatives are successful such as United Way Giving Campaign and volunteer initiatives.
- Maintain extensive knowledge of community organizations and events.
- Collaborate with Community Relations Manager and Director to proactively evaluate sponsorships, team member engagement and civic opportunities for Orlando Health to engage in the community.
- Ensure excellent customer service with internal and external stakeholders.
- Maintains reasonably regular, punctual attendance consistent with Orlando Health policies, the ADA, FMLA and other federal, state and local standards.
- Maintains compliance with all Orlando Health policies and procedures.
Other Related Functions
- Regularly evaluates the effectiveness of all assigned events and projects.
- Maintains growth and development through seminars, workshops, software education and publications to keep abreast of trends in the field.
Orlando Health is a 3,238-bed system that includes 23 hospitals and emergency departments – 18 of which are currently operational with five coming soon. Qualifications:
Education/Training
Bachelor’s degree.
Licensure/Certification
Valid Florida driver’s license and must be insurable under the Orlando Health insurance carrier’s requirements and standards.
Experience

Two (2) years of experience in business environment with increasing responsibility for coordinating events.

Proven organizational, communication, and facilitation skills.

One year experience in public relations or related experience.
