Justice System Clerk II - Limited Duration

Under limited supervision, independently performs a wide variety of complex and responsible assignments requiring the use of independent judgment, research skills and in-depth knowledge of Justice System processes in support of a particular Justice System function. Positions at this level may provide lead direction to other clerical staff engaged in the work of the unit.Technology Services & Solutions is currently recruiting for multiple full-time (1.0), limited duration Justice System Clerk II positions within Technology Services and Solutions, Public Safety, and Justice. Please note, these positions are due to expire on June 30, 2027.The role of a Justice System Clerk II is to handle all Court and County Criminal Justice Information Center (CJIC) related data entry in a timely and confidential manner with timely data processing and quality assurance. This includes tasks like multi-day pickups and drop-offs from various County and Court locations, as well as scanning and filing in confidentially shared folders. Experience using CJIC is desirable.• Retrieves, researches, creates and/or modifies legal files and computer data relative to the automated criminal justice system process under strict regulatory timelines;• May perform lead functions including coordinating, prioritizing, troubleshooting and keeping apprised of work within the unit and training Justice System Clerk Is; makes independent decisions on procedural matters;• Provides instruction and training to other departmental personnel relative to the operation and access of automated criminal justice computer data bases or general clerical activities;• Prepares documents and/or legal notices for civil, small claims, criminal and traffic cases on required forms;• Prepares special reports and/or supplemental data for required forms as necessary;• May schedule court appearances or notify and remind clients of appointments;• Maintains detailed records and resolves administrative discrepancies;• Maintains professional communication with the public, other agencies and departmental staffing person and on the telephone with information concerning functional procedures and protocols;• May collect fees, make change, issue receipts, make deposits and reconcile accounts;• Processes and reviews documents such as summons, writs, warrants, subpoenas, releases, grants, complaints, motions, affidavits, revocations and other legal documents in conformance of established clerical work methods and procedures;• May review and purge criminal justice files;• Enters workload data and maintains tracking programs; prepares statistical summaries of the work activity of a unit;• May provide input in creating and implementing policies and procedures as related to unit;• May conduct research projects and statistical data collection;• Answers difficult questions, researches complex issues and identifies solutions;• May perform payroll activities such as maintaining records of time worked, overtime, leaves and absences;• Performs other related duties as required.Sufficient education, training and experience to demonstrate the possession and direct application of the following knowledge and abilities:Experience Note: The knowledge and abilities required to perform this function are normally attained through one-year work experience in a Justice System function equivalent to the classification of a Justice Systems Clerk I in Santa Clara County.Knowledge of:• Legal terminology, processes and requirements related to the assigned Agency or Unit;• Related agencies and/or functions requiring interaction and cooperative efforts;• Standards and legal requirements on confidentiality and privacy;• Office practices and procedures;• Specific court processes;• Clerical procedures required by statutes;• May require knowledge of specific clerical procedures required by statutes;• In-depth knowledge of automated Criminal Justice computer system databases;• Computer databases and word processing systems;• Basic mathematics.Ability to:• Provide accurate and complete work within extremely tight timelines;• Assist other departmental personnel within work unit;• Prioritize work and respond to changing priorities in a dynamic work environment;• Interpret and apply departmental policies and rules, governing law regulations, and ordinances pertaining to the Agency or Unit;• Use discretion and judgment in the handling of sensitive and confidential information;• Work independently, make decisions on procedural matters without immediate supervision;• Cooperate effectively with others;• Establish rapport and maintain credibility with the public;• Prepare clear, concise reports;• Analyze information and materials and formulate conclusion;• Coordinate and assemble calendars;• Communicate effectively using written and verbal communication skills;• Research complex topics and identify problems and solutions;• Provide for quality control;• Evaluate for corrective action;• Lead a clerical unit.
