Responsibilities:
- Crew Travel Requests: Ensure that all email and phone travel requests are booked and in accordance with contractual regulation. Maintain and update travel information for all crew members attending training on a month-to-month basis. Communicate travel accommodations by means of email or phone.

Hotel Connections Liaison: Communicate with Hotel Connections via email to update vendor contact and rate information. Coordinate with Crew Plan to ensure DAT file contains correct Hotel Connections data. Be involved in maintaining vendor relations and develop processes to improve operational efficiency.

Invoicing and Reconciliation: Reconcile monthly vendor invoices with booking data and Crew Plan data. Process payment for vendor contracts with Crew Travel credit card. Assist Finance with vendor invoicing.

Assist Finance: Work with Finance in reconciliation and forecasting of crew travel expenses and budget by means of building and maintaining accurate historical reports.

Pilot Expenses: Collect, review, and approve pilot expense reports. Support Finance department with vendor contracts and payments.

Training Travel Scheduling: Book all travel; i.e. deadheads, hotel, and transportation for all initial, upgrade, re-qualifying and recurrent training crew.

FAA Travel Scheduling: Book all travel; i.e. deadheads, hotel, and transportation for all FAA inspectors as requested or required by training.
- Oversee the tracking and analysis of hotel and deadhead usage to minimize unnecessary cost.

May perform other responsibilities as assigned. Responsibilities and duties may change when circumstances dictate (e.g., emergencies change in workload, rush jobs or technical developments).
Qualifications:
- Must be able to determine the accuracy of data received for input.

Basic typing skills while ensuring data accuracy.

Ability to follow booking guidelines and limitations while maintaining high level of accuracy.

Long periods of sitting with continuous typing, reading, and writing.

Work under contractual deadlines with near 100% accuracy.

Thorough knowledge of Microsoft products such as Excel, Outlook, Word, and PowerPoint, as well as a thorough knowledge of Citrix.

Flexibility to meet changing deadlines under pressure.

Must be able to adapt to various work schedules and work on call as the operation needs.

High School Diploma required, Bachelors degree preferred.
