The Office Manager will be responsible for maintaining a well-organized and efficient office environment, ensuring that all administrative tasks and office housekeeping duties are performed to the highest standards. This role involves managing day-to-day office operations, including maintaining office supplies, coordinating maintenance and repairs, and ensuring that the workspace is clean and orderly. The Office Manager will support the administrative team by assisting with scheduling, filing, and document management, contributing to a smooth and productive work atmosphere. The ideal candidate will have strong organizational skills, attention to detail, and a commitment to fostering a welcoming and professional office environment.
Essential Functions- Plan and schedule organization-wide events, including on-site meetings, new hire orientations, and CEO meetings. Handle reservations, invitations, accommodations, and food and beverage coordination.
- Supporting the People Services Manager with organizing events company culture events.
- Disseminate general office-wide and company-wide communications.
- Coordinate and organize employee gifts, celebrations, and condolences, both scheduled and ad-hoc.
- Manage the CEO's calendar, travel arrangements, and reservations, or delegate these tasks.
- Provide administrative support and take on ad-hoc projects as requested by the Executive Leadership Team, as needed.
- Greet visitors warmly and direct them to the appropriate waiting area, conference room, ensuring a professional and welcoming experience.
- Establish a standardized process for mail and package delivery, ensuring timely distribution to recipients.
- Foster a productive and collaborative office environment in Plano by coordinating and anticipating office-wide inventory, ordering, storage, and restocking needs.
- Maintain all public spaces, including conference rooms, break rooms, and shared areas.
- Manage the relationship with building maintenance and custodial staff, ensuring the delivery of a consistent level of service and promptly addressing any issues.
Required Education/Experience- Must have 2+ years relevant experience managing day-to-day office operations.
- Proficiency in Microsoft Office Suite.
- Proven capabilities and communication skills to successfully interact with employees & vendors.
- High-level, high visibility position which requires candidate to be onsite 5 days a week.
Skills/Abilities- Strong organizational skills and ability to manage multiple events simultaneously.
- Excellent communication (verbal and written) and interpersonal skills.
- Ability to work independently and collaboratively in a fast-paced environment.
- Must be confident in their interactions and possess a professional demeanor and work ethic.
- Flexibility to travel and work evenings or weekends as needed.

Work Environment- Work is performed indoors in a climate-controlled environment.
- May be required to work evenings, weekends to meet company and customer needs.
- Must be able to remain in a stationary position 50% of the time.
