Overview
The Event Coordinator plans, coordinates, manages, implements, and evaluates a wide variety of special events throughout the City of Dallas. Develops guidelines, evaluated event requirements, creates comprehensive cost projections, coordinates security requirements, and provide complete event management, permitting, and registration services.
Essential Functions
1 Reviews, processes, and approves various special event permit application request both large and small; processes and administers the handling of multiple applications for various events, parades, festivals, concerts, and other small and large scale events.
2 Provides quotes, permits, and invoices for applicants and evaluates the liability of the event request; reviews and analyzes simple and complex event components including street closures, zoning, public safety plans, city codes, and street closures to ensure appropriate requirements are assessed.
3 Prepares the preliminary letter and permit for submission to the client and various departments for review; collects, gathers, and retrieves all required permit documentation and fees.
4 Communicates special event information to the various city departments for review; coordinates and facilitates pre and post event meetings with clients and other City Departments.
5 Participates in the training, counsel, mentorship, and leadership of administrative staff and other personnel providing event management and specialized planning and services.
6 Manages, coordinates, and monitors all event activities; handles plans and requests to minimize scheduling, resolves operational conflicts, and ensure all safety requirements are met; assists, responds to and resolves customer service issues on assigned event day or days.
7 Creates and updates the weekly online event schedule and calendar.
8 Prepares reports, writes procedures, oversees projects and research; evaluates results and composes executive summaries for management, council, stakeholders, fire department, police department, and other City departments.
9 Creates and maintains databases, documentation, and spreadsheets; compiles and prepares ISO compliant documents for internal and external distribution.
10 Performs any and all other work as needed or assigned.

MINIMUM QUALIFICATIONS:
EDUCATION:
Bachelor's degree in a Business, Public Administration, Communications, Recreation, Social Science or related field.
EXPERIENCE:
Three (3) years of experience in special event planning, municipal permitting or processing of special event applications.
EQUIVALENCIES:
High school diploma or GED plus seven (7) years of the required experience will meet the education and experience requirements
Associate degree in any field plus five (5) years of the required experience will meet the education and experience requirements
Bachelor's degree or higher in a non-specified field plus five (5) years of the required experience will meet the education and experience requirements
Master's degree or higher in a specified field plus one (1) year of the required experience will meet the education and experience requirements
LICENSES AND CERTIFICATIONS:
Valid driver's license with good driving record.
OTHER REQUIREMENTS:
Availability to work nights, weekends and/or holidays as needed
