THE ROLE

The Measurement and Learning (M&L) team at Citizen Schools works across departments in the organization to ensure that teams are collecting data that is relevant and useful to their work, accessing that data easily, and actively using it to support regular learning and strategic decision-making. The Coordinator of Data Operations (CDO) will play an important role on the Measurement & Learning team, coordinating and ensuring timely execution of data collection activities, maintaining a clean and current central database, and supporting staff members across teams to access and use data effectively in their work. The CDO will bring project management and data capacity to the organization by overseeing processes for data collection and maintaining quality data in our central database. The CDO will combine technical skills in cleansing and manipulating data with organization, detail orientation, and strong interpersonal skills supporting colleagues across teams to collect data and utilize systems.

The CDO will report to the Managing Director of Measurement & Learning (MDML) and will receive additional support and oversight from the Manager of Data Operations & Reporting (MDOR). The CDO will also work frequently with members of the Program team, Community Partnerships team, and Philanthropy team to oversee all data collection activities, train & support staff to use data systems, and troubleshoot issues as they arise. This role offers significant opportunities for professional development as it involves working closely with colleagues throughout the organization and contributing to a strong culture of learning and data use. It is a great fit for someone who is detail-oriented, comfortable managing multiple workstreams and deadlines, enjoys working and communicating with data, and is an excellent communicator and team member.

The CDO is a hybrid position based in one of our core markets (NY, MA, or CA). You are not required to work within an office building and you have the flexibility to define your ideal work environment as long as you have physical access to the Greater Boston, Greater New York City, or Greater Los Angeles areas. Citizen Schools has a WeWork office in Boston if you are interested in working in a dedicated workspace.

KEY RESPONSIBILITIES:

Project Management: Data Collection (40%)

  • Develop and oversee data collection processes including building data collection forms that are user-friendly and connected to Salesforce, preparing administrative tools, communicating data collection timelines, monitoring completion, providing updates, and troubleshooting issues
  • Maintain a master data calendar with clear deadlines for all data collection activities and communicate it with all staff
  • Ensure that data collection tools and processes are accessible, relevant, and not burdensome for program participants or staff; develop plans to address issues that arise
  • Collect & maintain disaggregated participant & community-level data and relevant educational comparison data

Systems Management & Communications: Database Maintenance (40%)

  • Conduct annual database updates, including updating Salesforce, FormAssembly, Google Sheets, and other systems as needed
  • Complete regular data hygiene audits to ensure the accuracy and completeness of data
  • Build & maintain a suite of reports and dashboards for each department and a master resource cataloging organizational metrics to ensure all teams have easy access to data that drives their work and supports continuous improvement and decision making
  • Support compilation of internal Objectives & Key Results (OKR) reports and external facing Program Impact Reports
  • Source & catalog external research, case studies, articles, etc. related to our work
  • Manage the M&L project request intake form, responding to requests directly where possible, and elevating to the MDOR or MDML as needed

Process Assessment & Troubleshooting: Data Support & Training (20%)

  • Train staff on how to access and utilize Salesforce and various data collection tools in their work and provide ongoing support and troubleshooting
  • Create, maintain, and organize accessible user documentation to capture all data collection and entry processes
  • Maintain M&L support resources, conducting periodic reviews to ensure content is current and relevant

QUALIFICATIONS & EXPERIENCE

  • 2+ years of experience working with data including collecting, compiling, organizing, manipulating, analyzing, and/or communicating data to generate insights and support decision-making (ie: business intelligence or data analysis)
  • Experience using data collection and analysis tools (ie: Excel, Survey Monkey, Google Sheets/Forms, etc.)
  • Salesforce experience is a plus
  • Being “data-minded”; someone who currently has or can build skills in manipulating & presenting data (i.e. creating charts, graphs, pivot tables, and Excel formulas); someone who is interested in building surveys, exploring data, and helping to make meaning out of numbers.
  • Exceptional project management skills including the ability to articulate clear project objectives, develop a scope, sequence, and timeline, and manage self and others to complete high-quality project deliverables on time
  • Experience working with databases, particularly auditing and cleaning to maintain data accuracy and completeness
  • Exceptional interpersonal and customer service skills, with the ability to develop productive working relationships across a wide variety of individuals and groups
  • Proactive attitude, comfort, and ability to seek clarity and solicit feedback when needed
  • A deep commitment to systemic impact in education and driving critical change in the United States and beyond
  • Experience in a youth-serving education setting (K-12 schools, education nonprofits, community organizations) and familiarity of the education landscape and related data a plus

COMPENSATION & BENEFITS

The salary for the Data Operations Coordinator is $58,000 and it aligns with Citizen Schools' values on equitable compensation practices. New hires are compensated at the base of the salary range and compensation increases are driven by demonstrated role proficiency over time. You will also receive a robust benefits package that offers medical, dental, and vision insurance, a 403(b) retirement plan with an employer match, flexible Paid Time Off (plus 22 days of org-wide holidays), employer-paid short-term and long-term disability, and more.
