Position Summary
Ensure the efficient operation of the department and provide clerical support to department staff and
administrator.
Essential Functions / Key Responsibilities
1. Assist staff and public as needed.
2. Greet visitors with professionalism and courtesy.
3. Maintain and assist with operation of office equipment/machines as needed.
4. Schedule meetings and appointments for administrative staff.
5. Direct incoming calls to appropriate departments.
6. Provide initial customer service and effective communication to internal and exter nal customers.
7. Ability to discern if customer (internal/external) requires additional follow-up and re-direct to
administrator as appropriate.
8. Screen and distribute incoming mail.
9. Perform general office procedures including typing, filing, mail, scanning, duplication of materials, data
processing, editing and general recordkeeping.
10. Maintain electronic databases for assigned Administrator.
11. Assist with Federal and State mandated audit/s.
12. Maintain electronic and hardcopy personnel records; perform data entry of pertinent personnel
information, maintain complete and secure hardcopy records, as necessary.
13. Assist with processing, coordinating and dissemination of department reports, documents as directed by
administrator.
14. Maintain general office files: save/store required documents per policy and administrative procedures.
15. Performs other related duties as assigned within the appropriate skill and experience capabilities

Minimum Requirements
• High school diploma or GED equivalent or higher (recognized by the Texas Education Agency or a regional
accredited agency)
