Dispatcher/Service Coordinator

H.T. Lyons, an HVAC mechanical contractor, is looking for a Dispatcher/Service Coordinator to join our team. The Service Coordinator has responsibility for allocating department field labor and maintaining the daily schedules for Service Technicians. Communicates clearly and concisely with all staff and engages in operational support activities to assist with office functions.

Essential Job Functions:

  • Satisfy both customer needs and contract obligations by efficiently coordinating job assignments.
  • Become familiarized with each contract, service technician’s experience, and tasking so labor can be controlled and work can be completed in the most cost effective manner.
  • Daily effective communication with technicians; share or exchange information regarding schedules, work order status, ARGON reports, materials/parts status, etc. Document all communication for the purpose of updating CMS (Call Management System) and spreadsheet tools. Maintain good working relationships with all service technicians.
  • Effectively utilize CMS (Call Management System) as intended and ensure it is fully populated by the end of each day.
  • All phone calls and emails received for other requests outside of service should be forwarded to Operations Manager along with any additional insight regarding the request.
  • Prepare and provide service POs for distribution. Manage and update the service PO master list.
  • Daily effective communication and maintain good working relationships with the office staff while providing exceptional customer service.
  • Assign, schedule, and complete dispatch of calls slips in CMS (Call Management System) daily.
  • Enter construction job numbers in Service Eye when technicians are working on construction projects.
  • Update as required site files in COINS with customer contract information pertinent to the field technician.
  • May perform other duties as assigned

Requirements

  • High School Diploma required, Associate's degree preferred
  • 1-3 years of dispatching experience, preferably in the construction industry
  • Ability to write routine reports and correspondence
  • Excellent communication and time management skills
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited, standardized scenarios exist
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form
  • Proficient in Microsoft Office
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals

  • Monday to Friday
