Job Description:
Provide administrative support services to the Office of Educational Effectiveness and Career Services. This is a split position working 50% of the time for each office.
RESPONSIBILITIES
EE Office (20 hours/week)
Manage assessment website
Upload assessment reports each semester
Monitor and update assessment plans and curriculum maps
Collect and upload syllabi each semester
Collect and upload updated CVs for all instructors yearly
Create and update DQP rollups for all programs offered
Monitor disclosures and licensure webpages - check links monthly
Maintain spreadsheet for each AU for new program review process
Assist with assessment management system software
Assist with state authorization research
Assist the Administrative Assistant to the Dean of Educational Effectiveness
Career Services Office (20 hours/week)
Provide full coverage of career services area to greet visitors, answer emails, and take calls; open and close office in Point Loma campus on a daily basis (Monday to Friday, 8 AM to 430 PM)
Manage employer inquiries and student communications for job postings through the Handshake technology platform
Manage faculty outreach and student communications for workshop offerings
Schedule class presentations, employer events, and career workshops via myPLNU, Zoom, and Google calendar
Organize logistics for department events - including but not limited to, venue scheduling, catering orders, registration, payment, parking, supplies, invitations, evaluations, campus marketing, vendor management, and oversight of set up and break down activities
Assist with handling expenses for the department’s operational Budget
Other duties may be assigned to this position on a regular or occasional basis to respond to the needs of the university.
QUALIFICATIONS
Two years of administrative experience with proficiency in Excel, Word, and Google applications (Gmail, Google Sheets, Google Docs); familiarity with Microsoft Publisher and general knowledge of accounting and scheduling programs are desirable.
Strong organizational skills and the capacity to use independent judgment in prioritizing tasks while experiencing frequent interruptions.
Accuracy and attention to detail.
Effective interpersonal and communication skills to establish and maintain working relationships within the campus community and general public.

PHYSICAL REQUIREMENTS
The work is primarily sedentary and may require sitting for extended periods of time. Use of computer equipment: computer keyboard, mouse, and monitor. Ability to read documents, email and other correspondence, and reports on paper and computer monitor. Hearing and speaking to communicate effectively with others in person and by phone. Ability to stand, stoop, push, pull, and lift up to 20 lbs throughout the day.
