ELEKS Human Capital Administration is looking for Personnel Records Specialist in Lviv, Kyiv, Ternopil and Ivano-Frankivsk


REQUIREMENTS
  • Knowledge of fundamentals of office procedures and organization
  • Knowledge of principles, procedures, and practices of personnel recordkeeping
  • Basic knowledge of Ukrainian Labor Legislation
  • Experience with Jira, 1C
  • At least B1 level of English
  • Good MS Office knowledge
  • Perform detailed and accurate review of personnel transaction information, forms, and reports


RESPONSIBILITIES
  • Prepare and manage NDA agreements, ensuring timely signature and compliance
  • Process newcomer application forms, input data into the system, and securely store personal document scans
  • Identify and address data gaps by coordinating with employees to collect missing personal information
  • Prepare reference letters and employment confirmations upon request
  • Support the Personnel Group Lead in maintaining personnel and military records, as well as archiving employment-related documentation in accordance with state regulations
  • Scan, organize, and compile employee case files, ensuring proper document handling, storage, and signature collection (digital signature solution not yet implemented)
  • Process Jira ticket requests related to onboarding, offboarding, personal information updates, maternity leave, sabbaticals, and mobilization
