Work within Internal Operations, collaborating closely with Events, Partnerships, Engineering, Marketing, and Leadership teams to help build new ETHGlobal products and take our internal processes to the next level
Assess current internal processes and develop improved workflows, proactively work on opportunities for further optimization to enhance team collaboration and enhance overall efficiency
Facilitate equipment and inventory with Canadian employees (team laptops, swag, etc)
Schedule internal team meetings and important external meetings
Record notes from team meetings, including brainstorming sessions, idea generation, and general logistical considerations
Document decisions made during team meetings and planning meetings, along with corresponding action items and responsible parties
Create and update timelines and checklists to ensure all tasks are completed on schedule, and no details are overlooked
Maintain accurate records of budget allocations, expenses, and invoices to ensure financial accountability and transparency when planning Team Retreats and Team Travel
Plan and execute on special projects for ETHGlobal such as the end of year gifts, team member birthdays, or similar
Demonstrate exceptional organizational skills to ensure that our event, vendor, and venue database is a powerful tool that the team can work from
Support the Event Operations Team with research, planning and executing on our in-person events
You are based in Ontario, Canada
1+ years of relevant experience in administrative support or similar role
Strong communication and interpersonal abilities
You have extreme attention to detail with a proactive and positive approach
Ability to work collaboratively in a team and adapt to changing priorities
You have great organizational skills and the ability to manage multiple tasks in parallel
Have an ownership mentality. When you take on a task, you get it done. You proactively troubleshoot problems blocking your path, and the problems blocking the paths of others
You're analytical. You look for ways to improve the status quo based on how things are changing around you and adapt quickly to new trends with new ideas and possibilities for the organization
Proficiency negotiating contracts and working with vendors
Experience in event planning and logistics is a plus
Proficiency in productivity tools such as Linear, Google Workspace, and Slack is a plus
