Events Coordinator

Position Information

Reporting to the Assistant Dean of Strategic Initiatives and Marketing, the Events Coordinator works on behalf of the Marlan and Rosemary Bourns College of Engineering to plan and execute college-wide events in a way that supports and delivers upon the college’s mission and values. Primary responsibilities focus on building upon the college’s existing internal and external events and proactively identifying and planning new events that strategically engage with key constituents such as current students, prospective students, donors, parents, industry partners, and alumni. In-person, virtual, or hybrid events include but are not limited to commencement, Dean’s Council of Advisors, advisory board meetings, town halls, networking mixers, distinguished lectures, open houses, etc. The Events Coordinator will collaborate with various college and university team members and units and lead efforts with vendors such as photographers, party suppliers, caterers, and graphic designers. The Events Coordinator may liaise with key stakeholders, representing the college with external partners, and may include support in developing event-related marketing materials such as PowerPoint presentations, invitations, fliers, etc.

Please note that this limited position has a projected end date of February 28, 2024.

This is an on-campus position in Riverside, California.

The budgeted hiring range for this position is from $52,100-$68,000 annually.

As a condition of employment, you will be required to comply with the University of California SARS-CoV-2 (COVID-19) Vaccination Program Policy. All Covered Individuals under the policy must provide proof of Full Vaccination or submit a request for Exception (based on Medical Exemption, Disability, and/or Religious Objection) or Deferral (based on pregnancy) no later than the applicable deadline. For new University of California employees, the applicable deadline is ten weeks after their first date of employment.

Minimum Requirements

Working organizational skills, including skill in effectively coordinating and organizing multiple details. Excellent organizational abilities appropriate to effective calendar management and student and/or volunteer scheduling.
Ability to work professionally under pressure and under tight deadlines; ensuring excellent customer service support.
Ability to work in diverse groups, including but not limited to students, staff, faculty, general public, production personnel, technical operators and performing artists.
Working knowledge of concepts, principles and practices of event planning and production and public relations.
Good interpersonal communication skills and political acumen, including skill in effectively representing the campus, medical center or other university organization to its publics.
Good judgment and effective decision-making and problem resolution skills, including skill to recognize and deal effectively and appropriately with real and potential problem areas, including skill to determine the issues/problems that need to be brought to the attention of higher level staff and/or management.

Preferred Qualifications

Knowledge using communications and design platforms such as Adobe Creative Cloud, Canva, MailChimp, ThankView, etc.

Working knowledge of the campus, its programs, policies, mission, goals, objectives, achievements and infrastructure.
