Executive Assistant

Ceribell Inc. is a rapidly growing venture capital backed medical technology startup based in Mountain View, CA. Ceribell deploys a cloud-linked, portable electroencephalogram (EEG) device to assess brain waves in minutes to identify the occurrence of seizures in emergency rooms and intensive care units. The Ceribell system is comprised of a brain stethoscope that converts brain waves into sound, enabling nurses and doctors to quickly diagnose seizures in order to more quickly administer live saving therapies. Ceribell received the first ever FDA 510(k) clearance for a digital seizure detection algorithm, and is growing its customer base and revenue rapidly. The Executive Assistant will be the supportive force that empowers our senior leadership. The role focuses on supporting the CEO and the executive team. The ideal person for the job will be a proactive problem solver with exceptional communication skills and a meticulous attention to detail. Given the changing nature of the executive landscape, we rely on our assistants for flexibility and foresight, while maintaining confidences related to high-level systems and operations.

Objectives of this Role:

  • With a primary responsibility of supporting the CEO, provide support to the executive team as directed to ensure that company goals and objectives are accomplished, and operations run efficiently
  • Maintain and refine internal processes that support to the highest-ranking executives company-wide, coordinating internal and external resources to expedite workflow
  • Manage communication between upper management and employees, liaising with internal and external executives on various projects and tasks
  • Plan and orchestrate work to ensure the senior executives' priorities are met, organizational goals are achieved, and best practices are upheld

Responsibilities:

  • Completes a broad variety of administrative tasks for the CEO and the executive team including: managing an extremely active calendar of appointments; completing expense reports; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.
  • Plans, coordinates and ensures the CEO's schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CEO's time and office.
  • Communicates directly, and on behalf of the CEO, with Board members, investors, and others, on matters related to CEO's programmatic initiatives.
  • Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
  • Organize team communications and plan events, both internally and offsite

Requirements:

  • Bachelor's degree preferred
  • 5-10 years experience supporting C-Level Executives
  • Superb written and verbal communication skills
  • Strong time-management skills and the ability to organize and coordinate multiple projects at once
  • Proficiency with G-Suite and other office productivity tools, with aptitude to learn new software and systems
  • Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
  • Ability to keep company confidences
