Essential Job Functions

Qualified candidate needs to provide administrative support to team members of the Office of the Chief Administrative Officer. The ideal candidate will have experience in handling a wide range of administrative, project related, and personal tasks. Candidate must be able to handle high pressure situations and not be easily intimidated by the demands of the position. With great attention to detail, the Assistant will need to multi-task and maintain a high level of organization to support the busy schedule of this team. The candidate must be exceedingly well organized and flexible. Administrative responsibilities include, but are not limited to heavy coordination of logistical details including making extensive travel arrangements, scheduling and organizing meetings and handling multiple changes regarding same, monitoring and keep team aware of changes, draft responses to email communications and/or respond on behalf of the office, preparing and tracking expenses, interfacing with partners and senior staff both in person and on the telephone, typing routine correspondence, filing and other general administrative and project based duties as assigned.


Ideal candidate will have 5+ years administrative experience, preferably in a law firm or other fast-paced environment. The ability to interact with senior management staff in a fast paced environment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial to this role. A quick thinker with a high level of interpersonal skills to handle sensitive and highly confidential situations, excellent communication and organizational skills, a customer service orientation, a proactive work ethic, the ability to anticipate needs, attention to detail. Excellent written and verbal communication skills and attention to detail are a must. Must be proficient in MS Word and Excel 2016 and type a minimum of 55+ wpm.

Essential Job Functions:

Administrative Responsibilities

  • Coordinate extensive business and personal travel arrangements.
  • Assist in heavy calendar management including scheduling meetings and travel while accurately balancing changes.
  • Enter and track travel and expenses.
  • Handle highly confidential and non-routine information.
  • Compose and type routine general correspondence for signature as directed.
  • Maintain electronic address book.
  • Organize and maintain files.
  • Other related duties and responsibilities as assigned.

Project Responsibilities

  • Basic report generation and oversight.
  • Project plan coordination and other project-related duties as assigned.

Qualifications & Requirements

  • Must possess high level of interpersonal skills to handle sensitive and highly confidential situations and communicate professionally and effectively. Position requires demonstrated ability to use diplomacy, tact and discretion.
  • Must be detail-oriented and possess a high level of organizational skills.
  • Must be able to interact and communicate with individuals at all levels of the organization.
  • Work requires the ability to compose, type and proofread materials, meet deadlines.
  • Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
  • Quick thinker with the ability to multi-task and follow through without prompting on all assignments.
  • Proficiency with MS Word and Excel 2016 and typing speed of 55+ wpm.
  • 5+ years administrative experience, preferably in a law firm or other fast-paced environment.
  • Flexibility for overtime.
