OVERVIEW
As an Executive Assistant you'll provide support to the Chief Administrative Officer (CAO) by performing advanced, diversified and confidential administrative duties, both of a personal and business nature. You'll play a key role in helping to maximize productivity, act as a liaison to interal and external stakeholders, and oversee special projects.
JOB DUTIES

Manage CAO's calendar and schedule appointments, meetings, and conference calls with both internal and external parties as directed or independently; prepare meeting agendas, meeting notes, and reports as needed.

Screen incoming calls and written correspondence, monitor email; research, resolve and follow-up on issues and concerns in an appropriate and confidential manner.

Compose and prepare a wide range of general, confidential and complex correspondence; ensure proper sentence structure and grammar.

Prioritize inquiries and requests to ensure smooth day-to-day operations.

Anticipate needs and expectations and initiate follow-up on pending matters proactively.

Facilitate communication within the organization, acting as a liaison between various teams and team members.

Perform general administrative functions and provide administrative support to SVPs of Innovation, IT, and People & Culture teams.

Organize and execute special projects and ensure stakeholders are delivering on contributions.

Conduct research and compile information to support various projects and initiatives.

Participate in meeting and event planning.

Arrange complex and detailed travel plans and itineraries for travel-related meetings with minimal direction.

Build relationships throughout the company and with external partners as needed for efficient and effective work

Compile expense reports for approval.

Review, code, and submit invoices for approval and payment. Track spending for various teams against approved budgets.

Uphold the highest level of professionalism and discretion when handling highly confidential information.

Other duties and special projects as assigned.
REQUIREMENTS

High School Diploma or GED; Bachelor's degree in Business or related field, preferred

Minimum of 7 years administrative experience

Strong attention to detail, organizational and multitasking skills

Ability to interpret and effectively manage a large and complex workload with competing priorities

Excellent communication and interpersonal skills

Ability to work independently as well as a team in a fast-paced multi-tasked environment

Ability to maintain strict levels of confidentiality

Advanced computer proficiency with the Microsoft Office suite

Ability to provide data entry in a timely and efficient manner

Ability to work extended hours

Ability to respond to business needs after normal business hours

Ability to perform in-person work on a consistent basis

Ability to travel 5-10% of the time
