Executive Assistant

JOB MISSION:

Cohesity is seeking an Executive Assistant to support key C-Suite players. You'll be handling a wide range of administrative and executive support responsibilities and should be a natural people person. You will promote Cohesity's corporate image by representing our Executives internally and externally. This role might be for you if you: are a nimble multi-tasker with strong communication and organizational skills; enjoy the fluid challenges of supporting busy executives; and crave an opportunity to be a creative orchestrator for a forward-thinking company.

LOCATION: Must be in the Bay Area

KEY RESPONSIBILITIES:

  • A broad variety of administrative tasks including, but not limited to, managing an extremely active calendar of appointments; composing and preparing executive correspondence; arranging complex and detailed travel plans, itineraries, and agendas that are often subject to change
  • Provide leadership to build relationships crucial to the success of the organization. Being a positive influence every day
  • Prioritize conflicting needs; handle situations expeditiously, proactively, and follow-through on projects to successful completion, often with deadline pressures.
  • Plans, coordinates, and ensures schedules are respected. Provides "gatekeeper" and "gateway" role, ensuring the Executives time, focus and attention is appropriately balanced in response to internal and external requests.
  • Project the highest level of professionalism and courtesy with well-placed humor.
  • Full confidentiality regarding Cohesity and individual information. Trustworthiness is essential.
  • Contract and Invoice processing as well as submitting Purchase Requisitions.
  • Mail / Package handling as needed
  • Process reimbursements and expense reports, ensuring that transactions comply with financial policies and procedures.
  • Reserve conference rooms, order catering if required, set up conference calls and video calls as needed.
  • Technical competency to review and edit docs and use corporate systems including Zoom, Google Docs, Google Calendar, Google Drive, NetSuite, CultureAmp, WorkDay, Asana, Confluence and Microsoft Office.
  • Work independently and within a team on special nonrecurring and ongoing projects.
  • Collaborate with other EAs to foster Company open communication and help streamline processes
  • Schedule and assist with Departmental All Hands and Team Building events
  • Assist with onboarding & office space allocation when needed
  • Perform other duties as needed / assigned.

SKILLS/EXPERIENCE:

  • Associate or Bachelor degree in Business Administration, or comparable field, or equivalent professional experience
  • 10+ years of progressive experience supporting a senior executive in a business environment
  • Excellent time management skills as well as verbal and written communication skills
  • Ability to maintain strict confidentiality of employee issues
  • Excellent organization skills, attention to detail with high degree of accuracy, and the ability to work independently and exercise good judgment in a fast-paced environment
  • Excellent interpersonal and customer service skills with the ability to communicate verbally and in writing with all levels of associates (C-level, EVP, Director etc. at Cohesity and external vendors: must display patience, humor and helpfulness at all times)
  • Experience with policies, practices, and procedures in a business environment
  • Flexible; able to adapt to changes in work and priorities
  • Proficient in G-Suite and MS Suite (G-Mail, Google Drive, Google Doc, Google Sheets, MS PowerPoint, MS Excel, MS Word)
  • Must be proficient in use of technical and web-based solutions such as e-meeting/webinars (Zoom) and general use of internet and social media applications

Disclosure Pursuant to Applicable State Equal Pay Transparency Laws

This position has a minimum base salary starting at $100,000/year. Actual salary depends upon many factors, including a candidate's skills, qualifications and experience, location, and salary expectations, and therefore a starting salary significantly higher than this minimum may be offered. This position may also be eligible for bonus compensation, commission (if in a sales function), and/or equity grants. Additionally, full-time employees are eligible to participate in our comprehensive benefits framework, including health and wellness benefits, vacation, paid holidays and refresh days, 401(k) retirement plan, life and disability insurance coverages, and other benefits the Company may offer from time to time.
