We are looking for an experienced, organized, proactive, and results-driven Executive Administrative Assistant who operates with strong attention to detail, a high sense of urgency, and who is passionate about providing best-in-class administrative and project support.
This is a fast-paced, multi-faceted environment, and we are seeking someone with excellent interpersonal and organizational skills. This person must be a master at multitasking and anticipate the needs of their executive, keeping ten steps ahead. In this pivotal role, you will support the Chief Legal Officer.
What You'll Bring:
- 4-5 years of experience providing administrative support to C-level executive(s)
- Paralegal and prior experience assisting Corporate Secretary helpful
- Quick adaptation, flexibility to changing priorities and ability to meet deadlines and work under pressure
- Exemplary interpersonal skills and ability to develop professional relationships
- Ability to discreetly handle sensitive and confidential information
- Strong organizational skills that reflect the ability to complete assignments accurately and prioritize multiple tasks seamlessly with excellent attention to detail
- Acting as an extension of the CLO and being a cornerstone to the team-building process within the department
- Ability to perform overall duties and responsibilities of this position with minimal to no direction using independent judgment (and discretion)
- Must have advanced knowledge of the entire Microsoft® Suite programs (Word, PowerPoint, Excel, Teams, SharePoint)
Bachelor's degree preferred or equivalent experience
- This is a hybrid role that requires 2-3 days onsite at our downtown Chicago location
Impact You'll Make:
- The Executive Assistant develops meaningful partnerships with the team, plays an important role in assisting with multiple projects, collaborates with functional departments, and manages the flawless execution of high priority and urgent meetings. This person utilizes their creative problem-solving skills, effective decision-making, and project planning/management abilities to maintain a realistic balance among multiple, competing priorities.
- This person is the liaison between the CLO and their peers, leadership team, and senior management, as well as internal and external stakeholders. This role also partners and supports the Corporate Secretary by assisting, creating and executing on multiple board related deliverables. This position has access to, and regularly handles, information of the most sensitive, confidential, and strategic nature. Complete and utter discretion is of the utmost necessity.
- The successful candidate is a proactive thinker who understands the business and its inner workings. They provide value to each task by maximizing the strategic alignment between the Executive and their business priorities. The Executive Assistant will continually be challenged to think beyond the task at hand and work to tie the pieces together to deliver optimal results.
- Collaborate and develop strong relationships within the LRC(legal, risk and compliance)leadership team providing advice and guidance on matters that involve multiple LRC functions.
- Co-responsible for scheduling board and committee meetings and the prep meetings for management, and generally all logistics and administrative specifics relating to in-person and virtual board and committee meetings.
- Search for corporate records and documents as needed by various teams within Legal and M&A. The Legal Executive Assistant should be a research expert, knowing where to look and how to interpret data.
- Prepare, coordinate and schedule meetings for senior-level management and others within the organization; this includes logistics for off-site conferences, customer/partner events, Town Halls, internal associate celebratory/appreciation events, and other tasks as needed
- Collaborate and develop strong relationships within the executive/administrative assistant community.
- Create internal announcements and compose correspondence on behalf of CLO.
- Create and prepare presentation / meeting materials for CLO.
- Manage and arrange complex and detailed domestic and international travel plans/itineraries, compile documents for travel-related meetings.
- Process and complete executive’s expense report(s).
- Coordinate food and beverage requests for executives, meetings, and/or events.
Leading The Team:
In this role as Executive Assistant, you will also lead a team of Administrative Assistants, who support the CLO’s direct reports.
- Conduct regular 1:1 meetings with each associate and meet regularly with entire team
- Lead annual reviews to include goal setting and coach associates to success
- Approve associates’ time cards, expense reports, supply requests, etc.
- Engage associates in the TransUnion spirit, organize team building events, and conduct trainings
