Scope of Position:
- Serves as primary administrative support for Vice President, Global Government Affairs to include short, medium, and long-term scheduling, event materials preparation and management, travel arrangements, and expense reports
- As needed, provide administrative support to visiting executives
- Assist with general office management responsibilities in absence of Government Affairs Specialist or as requested
- Reports to Chief of Staff, Operations
Day to Day Responsibilities:
- Manage all aspects of VP calendar including compiling final briefing materials for day ahead
- Maintain medium and long-term VP planning calendar
- Draft routine correspondence
- Prepare and edit presentations for VP as requested
- Proof documents to ensure accuracy
- Schedule internal and external group meetings including facilities and catering, as needed
- Make travel arrangements, confirm details, and prepare expense reports in Concur
- Maintain organized electronic files for VP as well as briefing materials for Government Affairs staff
- Coordinate closely with Government Affairs Administrator in arranging requests for office/meeting space for visiting Corning staff.
- Ensure appropriate support for visiting executives such as IT needs, office supplies, building and suite access, etc.
- As requested, provide logistical and administrative event support, such as invitations/RSVP, catering, facilities management, set up, etc.
- In the absence of the Government Affairs Administrator, perform office functions related to events, work orders, office supply orders, deliveries, etc.
Work schedule and Travel Requirements:
- Hours of work/work schedule/flex-time: Monday – Friday 8:30 am – 5:30 pm; 40 hours/week; Overtime as needed.
- Travel as necessary
Required Education:
- Minimum of HS diploma; Associate Degree in Business preferred
Required Years and Area of Experience:
- 3-5 years of executive level administrative support
Required Skills:
- Proficient in all Microsoft applications, especially Outlook, Word, PowerPoint and SharePoint, and Excel
- Exceptional level of attention to detail and organization
- Solid written and verbal communications skills
- Ability to anticipate and resolve issues efficiently
