Position Overview:
Performs advanced, diversified and highly confidential administrative assignments for a designated executive, senior level leader(s) or leadership team. Provides calendar management, travel coordination, event planning and administrative project management. Projects and administrative tasks may include correspondence, presentation and report preparation, file maintenance, cross-functional collaboration, meeting room / conference set up, expense calculation and filing and meeting and greeting visitors.
Key Responsibilities:
- Supporting Senior Vice President level or above
- Schedules and maintains calendar of appointments and meetings for assigned executives / teams
- Screens electronic correspondence, telephone calls and visitors
- Manages schedules to ensure full awareness of emerging priorities, changes and potential conflicts
- Coordinates / routes incoming calls and correspondence, responding independently when possible
- Coordinates departmental event planning
- Organizes programs, events, or conferences by:
- Reserving facilities and caterer
- Issuing information and invitations
- Coordinating speakers
- Managing budgets and costs
- Prepares and distributes records, including agendas, notices and team meeting minutes
- Prepares confidential correspondence, reports and other complex documents
- Tracks, verifies and submits invoices and expenses for payment
- Arranges complex and detailed travel plans and itineraries, books travel
- Provides support as required on various administrative and related projects
- Employs knowledge of software programs including Windows and MS Office applications and business unit specific programs
- On a regular basis, coordinates meetings, projects and related actions with other Executive Assistants
Required Qualifications:
- BA/BS/MA/MS degree or equivalent work experience required
- Minimum of 4-6 years of relevant experience or equivalent combination of education and experience in sales, account management, and/or new business development
- Advanced in all Microsoft suite programs
