Being an Executive Assistant at iManage means…

You will be working directly with our Chief Executive Officer to help bring organization to the busy schedules of our team. You will provide invaluable support to our CEO while interacting with various departments and leaders across the company as well as with member companies and external partners. You will bring your strong attention to detail, organizational skills, and ability to meet multiple deadlines across our global team.

You will help to drive improvements and build more capacity for our leadership team to tackle our business priorities. You will manage multiple tasks across our leadership team with your advanced planning and communication experience. You will operate with flexibility and composure in our team environment and build strong relationships both inside and outside of our Executive team.

This position will be expected to be on-site in our Chicago headquarters two times per week (on average but can change based on priorities) to best support our team.

iM Responsible For…

  • Prioritizing our CEO’s calendar management and helping to schedule activities for leaders (and teams) across multiple locations
  • Planning and managing domestic and international travel
  • Managing expense report coordination and submission
  • Organizing and assisting with team activities (meetings, all-hands, off-site, social events, etc.)
  • Helping to build processes that drive efficiency in planning, reporting and communication across our team
  • Providing ongoing status and updates around requested action items, and escalating issues when encountering roadblocks
  • Finding more efficient ways to create processes that will help maximize our team’s time, including weekly reporting, goal tracking and team meetings
  • Handling sensitive and confidential information with the utmost care
  • Supporting additional duties as assigned by the executive team

iM Qualified Because I Have…

  • Bachelor’s degree preferred but not required
  • Minimum of 5 years’ experience supporting senior-level leadership
  • Experience in calendar management, travel booking, and a passion for planning
  • Impressive organizational skills and know the importance of implementing systematic processes
  • Excellent verbal and written communication skills
  • A positive, dynamic, and professional personality that enjoys working in a collaborative work environment
  • A strong attention to detail and ability to follow through assignments until results are achieved
  • Knowledge of Microsoft Office Suite (Outlook is a must!), Zoom video platform and Concur expense reporting
