Job Description SummaryFenwick is seeking a Temporary Marketing Events Coordinator who will work on developing, promoting, implementing, including branded and co-branded programs; webinars, CLE and other thought leadership programs; sponsorships; client entertainment, sporting events, networking and appreciation events; retreats and practice group events; and other events tied to key firm strategic initiatives including diversity and alumni programs. This position will also support strategic projects and initiatives designed to build the firm’s brand awareness, promote new product, service, and office offerings, increase engagement of clients, referral sources and alumni, and analyze and improve the effectiveness of the firm’s investment of resources in event-based marketing.The Events Coordinator reports to the Sr. Manager of Events and will work closely with other members of the events function, marketing department, FLEX by Fenwick, Recruiting, and Diversity & Inclusion groups to achieve firm-wide marketing, sales, service, recruiting and retention goals, serving as a key resource for marketing and firm event logistics.This position can be based in any of our U.S. office locations. This role offers a hybrid work arrangement, allowing you to work both from home and at your designated Fenwick office. The frequency of in-office work will be determined by business needs and guided by your department's directives.Job DescriptionMarketing Events and Internal Events• Support the events team.• Oversee and coordinate events that will make a positive impact on a variety of external and internal audiences.• As assigned, serves as a lead or support person responsible for producing an event, including: list development, invite creation, promotion, vendor selection and management, event logistics and execution, post-event participant engagement evaluation and ROI analysis in collaboration with business development.• Help to ensure events are cost-effective and are delivered on time and on budget.• Leverage market awareness and industry best practices to recommend and facilitate innovative solutions on event programs and execution, including refining existing programs and establishing new events and initiatives.• Liaise with multiple offices, practice groups and other internal functions (e.g., FLEX by Fenwick, Diversity & Inclusion, Pro Bono) regarding list development, promotion, event logistics, and post-event follow up and analysis.• Assist in the development and regular reporting of meaningful metrics that help improve the efficiency of the events and sponsorship's function and demonstrate the value of the firm’s marketing events investments.• Oversee vendor selection process and evaluates vendor relationships for their service quality, value, and cost effectiveness.Client Relations• Work with attorneys and the firm’s business development team to plan and execute events that meet relationship partner(s) expectation for client appreciation and/or recognition.• Collaborate with the Director on budget management, ROI analysis and reporting for all client-hosted events (sports and entertainment events, client dinners, client team social events, etc.).General Marketing & Events Team Support• Work with the Sr. Manager of Events to manage the events and promotional items budget.• Ensure that all vendor invoices are processed on time, additional budget requests are discussed and approved before executing, and that expenses are properly categorized.• Be an active participant in department task force initiatives and other department driven initiatives, as assigned.• Perform other related duties as assigned.Desired Skills And Qualifications• Ability to develop and maintain strong relationships with sponsorship partners and outside vendors.• Ability to handle multiple projects simultaneously and strong problem-solving skills.• Exemplary writing ability: solid grammar, spelling and proofreading skills required.• Excellent communication and interpersonal skills, including the ability to maintain effective working relationships and communicate verbally and in writing in a professional, courteous manner with clients, firm members, and other business contacts.• Basic understanding of technology industries (software, mobile, life sciences, cleantech, etc.).• Intermediate proficiency with MS Office Products (Microsoft Word, PowerPoint, Outlook, and Excel).• Ability to pay close attention to detail and be highly organized and accurate.• Ability to remain productive and accurate under pressure with tight deadlines.• Self-motivated, takes initiative and can work independently.• A strong client service ethic and the ability to react quickly to requests from lawyers and leadership at all levels.• Strong desire to grow in the position, be proactive in support of the Events team, contribute ideas and anticipate obstacles and opportunities within the scope of the position.• Proven track record of working seamlessly/directly with partners and executives on event planning and execution is preferred.• Must be willing and able to travel to work events as necessary with some evening and weekend programs.The ideal candidate will have 1-3 years of meeting and/or event planning experience. Law firm or professional services firm experience and experience working with an event management platform a plus. We provide benefits to eligible employees under plans such as Healthcare, Life Insurance, Health Savings Accounts, Flexible Spending Accounts, and Wellbeing.The Anticipated Range For This Position Is$66,000 - $87,000Depending on the role, the actual base salary offered may depend upon a variety of factors, including without limitation, the qualifications of the individual applicant for the position, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.A discretionary bonus for eligible employees may also be available based on performance. Additional information about employee eligibility for benefits and discretionary bonus will be made available upon request.
