Field Service Dispatcher

Position Overview:

We are seeking a motivated and organized individual to join our residential real estate brokerage as a Field Service Dispatcher. As a Field Service Dispatcher, you will play a crucial role in coordinating and dispatching work order requests from agents to our field service representatives. Your excellent communication skills, attention to detail, and ability to multitask will ensure smooth operations and exceptional service delivery to our clients.

Responsibilities:

  • Work Order Request Coordination: Receive incoming service requests from administrative team and accurately record all necessary details.
  • Dispatching Field Service Representatives: Assign appropriate field agents to work orders based on availability, skillset, and geographic proximity to ensure efficient and timely completion.
  • Communication and Coordination: Serve as the primary point of contact between agents and field service representatives, maintaining constant communication to keep all parties informed of service request statuses, updates, and any changes.
  • Schedule Management: Effectively manage the schedule of field service representatives, optimizing routes and appointments to maximize efficiency and minimize travel time.
  • Troubleshooting and Problem Solving: Address and resolve any issues or conflicts that may arise during service delivery, ensuring client satisfaction and swift resolution of any challenges.
  • Documentation and Reporting: Maintain accurate and detailed records of service requests, dispatch activities, and client interactions using appropriate systems or tools. Generate reports on service performance and provide insights for process improvement.
  • Quality Assurance: Monitor and evaluate the quality of service delivery by field service representatives, ensuring adherence to company standards and client expectations.
  • Team Collaboration: Collaborate closely with other team members, including field service representatives, realtors, and administrative team, to streamline operations and enhance overall service delivery.
  • Continuous Improvement: Identify opportunities for process improvement, propose and implement solutions to enhance dispatching efficiency, and contribute to the ongoing enhancement of service delivery standards.

Qualifications:

  • High school diploma or equivalent
  • Proven experience in a dispatching or scheduling role, preferably within the real estate or property management industry.
  • Strong organizational and time-management skills, with the ability to prioritize tasks effectively and meet deadlines.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with clients and colleagues.
  • Proficiency in using computer systems and software, including dispatching tools, customer relationship management (CRM) systems, Google Suite and Microsoft Office Suite.
  • Detail-oriented mindset with a focus on accuracy and quality.
  • Ability to remain calm and composed under pressure and handle multiple tasks simultaneously.
  • Familiarity with local geography and neighborhoods is advantageous.
  • Flexibility to work occasional evenings, weekends, or overtime, as needed
