The New England School of Acupuncture seeks a part-time 20-hour a week Front Desk Administrator to oversees and coordinates routine administrative support for the NESA Treatment Center.
Treatment Center Patient Management (80%)
- Schedules patient appointments in accordance with Treatment Center policies
- Checks in arriving patients with a high level of customer service
- Responds to patient inquiries in a timely fashion
- Maintains Treatment Center patient files and records in accordance with HIPAA
- scan, fax and photocopy documents
- Manages patient recall system in accordance with Treatment Center policies
- Reconciles patient accounts and collect payments
- Interacts with clinical faculty and interns and respond to inquiries
- Prepares statements for business office, maintains cash box and makes weekly deposits
Administration of Treatment Center (20%)
- Provides timely utilization reports as requested
- Maintains a clean, orderly and inviting appearance of the sales and stock areas
- Reconciles daily cash receipts
- In coordination with the Front Desk Administrator and Director of Clinical Education hires, trains, and supervises student workers in the Treatment Center
- Contributes to sustaining and enhancing an inclusive working and learning environment
Required:
- Associate’s degree
- Minimum of three years of experience in medical office or clinic
- Excellent communication, time management, interpersonal and organizational skills
- Working knowledge of the operations and administration of a medical facility
- Knowledge of and experience with practice management software or equivalent
- Proficiency with MS Office
- Understanding of patient care protocols, procedures, regulations and standards of care
- Ability to set priorities and maintain confidential information
- Demonstrated ability to work independently and as part of a team
- Ability to effectively manage multiple ongoing projects, meet deadlines and remain calm and adaptable in stressful situations
Preferred:
- Familiarity and fiscal management principles and procedures
