NTU is seeking an experienced and motivated Executive to join our dynamic team in Office of Development and Facilities Management. The department oversees the physical development and maintenance of all university buildings and grounds in support of the academic, research and administrative functions of the University. As a Front Desk Executive/ Assistant Executive, you will be responsible for providing administrative support and ensuring the smooth operations of the department.
Responsibilities:
Act as the first-level officer to provide support for NTU telecommunication inquiries, general public inquiries, and offer advice on all telecommunications matters.
Maintain telephony operating systems for NTU main campus, NTU@One-North, LKC School of Medicine, and CleanTech One.
Manage the Interactive Voice Response (IVR) system and NTU hotlines.
Liaise with all Schools/Departments/Offices to ensure telephone directories and call flows are regularly updated.
Ensure that fixed lines, softphones, and hybrid phones meet users' demands and serviceability requirements.
Ensure prompt resolution and closure of telephony-related matters and fault cases to meet users' satisfaction.
Monitor and oversee M&E Term Contractors responsible for daily, weekly, and monthly maintenance, repairs, and servicing of BizVoice and DEL lines.
Oversee A&A Term Contractors for the installation of new telephone points.
Handle telephone Work Requests/Service Requests for NTU main campus.
Assist in the operational aspects of manned Fault Reporting Centre/Fire Command Centres (FRC/FCCs).
Assist in the monitoring of daily manpower, operator performance, documentation, SOP adherence, closure of daily fault cases, and control premises access in all manned FRC/FCCs.
Provide administrative and clerical support.
Collaborate with the Centre of IT Services (CITS) for the implementation of Microsoft Teams Voice to enhance telecommunication operational efficiency.
Requirements:
Diploma in Hospitality/Business/ Marketing or relevant fields.
Minimum of 3 years of relevant experience in front-line service.
Possesses general knowledge of telecommunication and telephony systems.
Proficient in computer literacy, specifically MS Office applications such as Excel, Word, PowerPoint, etc.
Exhibits customer-oriented effective communication skills.
Candidates with more years of relevant experience may be considered for senior roles.
