Area: Member Experience
Reports to: Supervisor, Global Initiatives, Club and District Support - Americas
Classification: Exempt
Location: Evanston, IL
This position is designated as Hybrid - Fully Flexible and expected to work from our World Headquarters office once per month to several times a week. The specific days in the office are determined by managers based on business requirements. Rotary is under the jurisdiction of Illinois employment laws; we require all employees to live within reasonable daily commuting distance to Evanston.

Overview
This position expedites key business process functions on an annual, periodic, and daily basis, providing support to the Member Experience team as follows: committee and pilot logistics, District Rotary Foundation Chair appointment process, compliance responsibilities, budgeting, publication updates, and administrative support.
You Will Have
  • Bachelor’s degree
  • 5 years relevant experience
  • Ability to manage confidential issues with great discretion and professionalism
  • Proficiency in Qualtrics, Adestra, Microsoft Office, and Oracle
  • Excellent written and oral communications skills
  • Strong organizational skills with high attention to detail and commitment to accuracy
  • Capacity to manage deadlines, juggle priorities, and integrate multiple sources of input while effectively communicating and prioritizing your work
  • Ability to create, track and report on budgets
  • Multi-cultural sensitivity

You Will Be Responsible For
Committee and Pilot Support
  • Provide support to staff liaisons for DEI Advisory Council, Districting Committee, and Zone Review Committee (schedule meetings, organize orientation, take minutes, write and send standard correspondence, submit translation requests, and update committee resources documents (chronologies, Board decisions))
  • Facilitate meeting logistics for staff liaison to DEI Advisory Council
  • Support pilot chairs or co-chairs with logistics, travel itineraries, and expense reports
District Rotary Foundation Coordinator (DRFC) Responsibilities
  • Manage DRFC three-year appointment process (notification, qualification, issue resolution, annual audit, unreported roles, resignations, etc.)
  • Liaise with Trustee for approval of replacements
  • Daily maintenance of DRFC inbox (inquiries, issue resolution, and policy clarification)
  • Annual update of online resources (district appointment form, frequently asked questions, and resources)
Compliance Responsibilities
  • Maintain audits, reminders, tracking, and reporting for Annual Statement & Report of District Finance requirements, District Signatory Verification for DG funding, Individuals with Outstanding Financial Obligations, Member Alerts, and Prohibited Members
  • Daily maintenance of District Financial Statement inbox (inquiries, issue resolution, and policy clarification)
  • Annual update of notifications, letters, forms, and resources associated with compliance processes
Budgeting
  • Create various budgets including Member Experience, DG Funding, Regional Leader Fieldwork, Extension, DEI Advisory Council, Districting Committee, and Zone Review Committee
  • Enter and manage budgets in Oracle, including monthly tracking and reporting
Publications
  • Facilitate annual updates for Organizing New Club Guide, Zone Maps, Zones and Their Districts, US Clubs and the IRS, DG Selection Guidelines and Timeline, etc.
Team Support
  • Provide general administrative support to the Director and department managers including team meetings, expense report review, temporary staff invoices, out of office calendar, RITS requests, presentations, and portal pages
  • Provide administrative support (Qualtrics surveys, Adestra mailings, executive decisions for the RI Board, and ad-hoc communication)
  • Assists with department projects as assigned
