Convene, a global industry leader in premium meeting, event, flexible office, and membership spaces is seeking a Hospitality Coordinator who will ensure that we are meeting the needs and exceeding the expectations of our members and clientele our flagship location at 100 Stockton. This property will be Convene's first location in San Francisco and the Hospitality Coordinator will play a significant role in all functions related to a successful opening and daily operation. We are looking for a candidate who exemplifies a passion for Hospitality, Events, and Food & Beverage Service. In this role, the Hospitality Coordinator will be part of our operations team and report directly to the Event Production Manager and General Manager.


**This property is set to open in early October, so we are looking for someone who can interview ASAP and start in this new role by early September.


What You'll Do:

The Hospitality Coordinator supports many aspects of the meetings, and studio offerings at dedicated locations in accordance with Convene's vision, mission and values including our core principles.

  • Under the supervision of the Event Production Manager, serve as the primary point of contact for the client leading up to day-of event. Facilitate conversations to understand their needs for all aspects of their program including but not limited to culinary, service, & AV for small to mid size groups.
  • Assist Event Production Manager with administrative responsibilities
  • Schedule and host kick-off call with client.
  • Create & distribute Program Execution Orders and serve as the point of contact for weekly internal event meetings
  • Responsible for the creation of PEO's (Program Execution Orders), program diagrams, and invoices for post-contract add-ons for small to midsize meetings & events.
  • Assist with managing inbound and outbound client packages
  • Serving as the point of contact for exhibitors and 3rd party vendors under the supervision of the Event Production Manager
  • Greet and welcome all guests upon entry into a Convene property; approach all encounters with guests and employees in an attentive, friendly, courteous and service-oriented manner
  • Effectively communicate via verbal and written correspondence with all level of employees and clients; exhibiting GRIT in all interactions
  • Escort meetings guests when needed
  • Assist with coordination for setup and execution of all functions with the Service, Production, Technology, Customer Success and Culinary departments
  • Work dynamically and prioritize departmental functions to meet deadlines
  • Comply with Convene standards and regulations to encourage healthy, safe and efficient operations in adherence to best practices and requirements from DOH, OSHA, CDC and local guidelines, etc.
  • Ensure Standard Operating Procedures and Brand Standards are being adhered to and support any updates accordingly when applicable
  • Basic knowledge of Audio/Visual equipment set up and usage
  • Platform use in: Salesforce, Social Tables, Google Drive, GMail

What We Look For:

  • Minimum 2 years' experience in hospitality
  • Ability to work effectively with clients
  • Prior experience in event planning preferred
  • Comfort using web based collaboration tools including, but not limited to Slack, Salesforce, Social Tables, Google Suite
  • Able to multitask, and obsessed with customer satisfaction
  • Flexible and long hours sometimes required
  • Ability to move, lift, carry, push, pull and place objects up to 25 pounds without assistance
  • Ability to stand, sit, or walk for an extended period of time

Hourly Rate: $34.00/hour

This role is also eligible for Convene's annual incentive performance bonus plan.

This information reflects the anticipated base salary range for this position based on current national data. Minimums and maximums may vary based on location. Individual pay is based on skills, experience and other relevant factors.
